About the team and position
Carvana’s People Operations (POps) team is the engine room of our organization. Within HR Operations, the Leaves & Accommodations Team works to compassionately and effectively manage leave and accommodation requests, balancing business needs with employee well-being during life’s most critical transitions.
As a Coordinator, Leaves & Accommodations, you will play an essential entry-level role on our team by supporting the daily execution and administrative lifecycle of our Leave of Absence (LOA) and Americans with Disabilities Act (ADA) processes. Working closely with Leaves Specialists and HR Operations leaders, you will leverage your customer service orientation, organizational skills, and strict attention to detail to ensure seamless support for Carvana team members nationwide.
This is a fully on-site position, Monday through Friday, at our corporate HQ in Tempe, Arizona.
What you’ll be doing
- Inbox & Triage Management: Monitor and triage the central Leaves inbox daily. Respond to routine team member inquiries regarding medical, parental, personal, and state leaves, and escalate complex cases to Leaves Specialists.
- Intake & Case Setup: Execute daily administrative intake processes for Leave of Absence and accommodation requests across internal systems (AbsenceSoft and Workday).
- Documentation & Data Integrity: Collect, log, and maintain accurate leave-related medical notes, forms, and compliance documentation, ensuring chronological notation and legal confidentiality.
- Return-to-Work (RTW) Support: Partner with Workers’ Compensation Coordinators, direct leaders, and Leaves Specialists to assist with Return-to-Work workflows, confirming team member return status and updating records within 24–48 hours.
- Compliance Tracking: Supports with sustaining operational timeframes to ensure consistent 2-day and 5-day action windows for leave eligibility and accommodation notices.
- Cross-Functional Collaboration: Partner cross-functionally with all Leaves Specialists, HR Operations, Benefits, Payroll, and site leadership to drive administrative tasks to completion.
- Continuous Improvement: Share feedback on friction points to help streamline processes, administrative templates, and communication workflows.
What you should have/know
- 1+ years of professional experience in an HR, Administrative, or Customer Support capacity.
- Basic familiarity or strong willingness to learn leave regulations (FMLA, ADA, PWFA, and state-specific paid leave laws).
- High level of accuracy, self-motivation, organizational skills, and keen attention to detail.
- Exceptional written and verbal communication skills, with professional email etiquette when handling confidential data.
- Ability to navigate multiple software platforms efficiently (experience with Workday, AbsenceSoft, Slack, or Google Workspace is a plus).
- Ability to maintain absolute discretion and confidentiality regarding employee medical and personal information.
