Responsible for providing administrative and operational support to the Investment Department, with a specific focus on supporting the Chief Investment Officer and Investment Department leadership.
The ideal candidate is exceptionally organized and detail-oriented, demonstrates a high level of discretion and professionalism, and can effectively manage multiple priorities while supporting a dynamic team environment.
- Provide records management support for the Investment Department through the use of the research and documentation database and includes importing Investment Department emails and investment manager information from manager websites, including but not limited to valuations, letters, performance updates, tax statements, compliance documentation, and legal documents.
- Schedule and coordinate meetings and conference calls, including securing meeting space and arranging required technology. Greet and assist guests, coordinate travel arrangements including flights, hotel accommodations, and company vehicle reservations. Organize internal functions such as staff lunches and retreats, including food orders, agenda coordination, and preparation of meeting materials.
- Assist the Investment Department with data verification and reconciliation between portfolio systems, bank records, and investment firm statements. Research and help resolve variances by coordinating with the appropriate internal and external parties.
- Prepare presentations, reports, agendas, correspondence, memoranda, proposals, and other documents by organizing, formatting, proofreading, and compiling information using PowerPoint, Word, and Excel.
- Attend Investment Committee meetings and prepare meeting minutes. Interface with the Board Office, Investment Committee members, and Investment Managers. Handle requests and confidential matters on behalf of the Investment Department and ALSAC Senior Staff.
- Oversee day-to-day administrative operations for the team, including coordinating expense submissions, managing inbound and outbound packages, tracking and processing invoices, handling mail, maintaining meeting room schedules, coordinating equipment and facilities requests, ordering office supplies, and supporting special housekeeping or office-related needs.
- Perform other duties and responsibilities as assigned.
- Bachelor's degree or equivalent combination of education and experience.
- 3-5 years of office management, administrative support, or related experience.
- Experience with investment and accounting terminology preferred.
- Strong proficiency in Microsoft Excel, Word, and PowerPoint.
- Proficiency with databases and other business software applications.
- Strong verbal and written communication skills.
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Professional phone, email, and executive office etiquette.
- Ability to interact effectively with executives, board members, investment managers, and other internal and external stakeholders.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
This position is based at ALSAC’s National Executive Office in Memphis, TN and is eligible for a hybrid work schedule.
