The Need

For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Coordinator, Events, Global People Support.

The Coordinator, Events, Global People Support (GPS) is responsible for the ongoing planning and execution of key culture-making events for North America and Global Functions staff at IJM. The successful candidate will be organized and detail-oriented while also maintaining agility as a proactive member of the GPS team. This role will support larger GPS objectives in the Arlington Office and embody GPS values in support of our people. Working on the Experience Team and closely with the Spiritual Formation team, this role will plan, execute, and support events for the GPS team including Quarterly Prayer Retreats, Global Mission Week, new staff Orientation, and Arlington Office events. This role helps ensure consistent excellence in all events for North America and Global Functions employees and may serve on other IJM event planning teams as needed.

This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays). It reports to the Global Sr. Director, Employee Experience and is only available for candidates with the right to work in the US.

Responsibilities:

Professionalism & Partnership: This position will collaborate with the full Global People Support Experience team, Global Advisor for Spiritual Formation, CEO’s Office, North America Leadership Team, Regional Coordinators, and country offices to ensure that event planning and culture formation needs are being met.

  • Schedule and administrate event planning and debrief cycles that include all necessary constituents.

  • Work with vendors to execute contracts, communicate needs and expectations, and ensure excellent service provision.

Travel: This position will coordinate venue contracts and travel arrangements for events that are led by the Experience Team. This role will also provide all necessary travel-related information and documentation for international staff attending those events.

Communication: This position works closely with IJM’s internal communications function to ensure that participating staff receive all the information they need in a timely, clear, and compelling manner.

  • Develop and maintain necessary communication timelines with Internal Communications or other project leads.

  • Communicate clearly and in a timely manner with attendees and service providers.

Documentation, Reporting & Data Management: The successful candidate will gather data and report on each event as well as maintain organized files for each planning team.

  • Create, distribute, and synthesize survey findings for each event.

  • Create regular opportunities for feedback loops, host lessons-learned sessions, complete project debriefs, provide budget reports, and continually incorporate learnings into new planning cycles.

  • Become familiar with Workday, Planner, and Teams in order to plan, track task progress, and report on outcomes.

Budget Management: This position will monitor budgets allotted to Experience events.

  • Approve qualified expenses in Workday.

  • Contract and pay vendors.

  • Provide monthly budget report to relevant budget owners.

General Tasks: Because this position resides on a dynamic team within a growing organization, there will be other tasks that arise in the midst of the day-to-day work. 

Qualifications:

Education & Experience

  • Bachelor’s degree in relevant field of study preferred.

  • 3+ years of experience planning and executing in-person, virtual, and hybrid events for groups of 30 to 1,000.

  • Project management experience preferred.

Technical Competencies

  • Requirements which may include specialized knowledge or skills necessary to perform a specific role.

  • Excellent oral and written communication skills.

  • High proficiency with Microsoft Suite.

  • Exceptional detail orientation.
