COORDINATOR OF ENROLLMENT & ATTENDANCE 

The Opportunity: 

The Coordinator of Enrollment & Attendance is responsible for ensuring the school maintains healthy enrollment through strategic recruitment while also maximizing scholar attendance through proactive intervention, family engagement, and data monitoring.

This position serves as the primary liaison between prospective families, current families, and the school by leading student recruitment, enrollment, onboarding, attendance initiatives, and scholar persistence efforts. The Coordinator works collaboratively with school leadership to ensure enrollment goals are met while reducing chronic absenteeism and improving daily attendance.

Because enrollment and attendance needs fluctuate throughout the year, responsibilities shift seasonally to support the school's greatest operational priorities.

Essential Job Tasks:

  • Develop and execute recruitment strategies that achieve or exceed campus enrollment goals.
  • Conduct neighborhood canvassing, community outreach, presentations, and recruitment events.
  • Build partnerships with childcare centers, community organizations, churches, apartment communities, and local businesses.
  • Coordinate campus tours, Open Houses, and Information Sessions.
  • Assist families with completing enrollment applications and registration requirements.
  • Monitor enrollment pipeline from inquiry through the first day of school.
  • Maintain regular communication with prospective families.
  • Coordinate re-registration campaigns to achieve 100% returning scholar completion.
  • Manage waitlists and lottery acceptance processes.
  • Ensure all enrollment milestones are completed accurately and on time.
  • Lead onboarding activities for new scholars and families.
  • Maintain accurate enrollment records within PowerSchool and enrollment platforms.
  • Collaborate with school leadership to develop annual recruitment plans.
  • Achieve annual enrollment goals established by school leadership.
  • Maintain accurate enrollment records with 100% compliance.
  • Increase student persistence throughout the school year.
  • Reduce chronic absenteeism.
  • Improve Average Daily Attendance (ADA).
  • Complete all enrollment and attendance reporting deadlines.
  • Maintain strong relationships with families and community partners.
  • Support a welcoming school culture that encourages scholar success.
Attendance & Scholar Persistence (Primary September–June)
  • Monitor daily attendance and identify attendance trends.
  • Generate daily, weekly, and monthly attendance reports for school leadership.
  • Contact families regarding scholar absences, tardiness, and attendance concerns.
  • Conduct attendance conferences with families of chronically absent scholars.
  • Develop attendance improvement plans in collaboration with school administration.
  • Coordinate attendance incentive programs and recognition initiatives.
  • Conduct home visits when appropriate to support scholar attendance.
  • Maintain documentation related to attendance interventions.
  • Ensure compliance with state attendance reporting requirements.
  • Partner with school counselors, social workers, and teachers to remove attendance barriers.
  • Coordinate truancy prevention efforts.
  • Monitor scholar persistence throughout the school year and proactively intervene with families at risk of withdrawing.
  • Analyze attendance data to identify school-wide improvement opportunities.
Family & Community Engagement
  • Build positive relationships with current and prospective families.
  • Serve as a welcoming first point of contact for new families.
  • Coordinate family engagement events that promote enrollment and attendance.
  • Promote the school's mission within the community.
  • Develop and maintain community partnerships that support enrollment and scholar success.
  • Collaborate with staff to ensure families receive consistent communication.
Data & Operational Responsibilities
  • Maintain accurate enrollment and attendance records.
  • Monitor key performance indicators related to enrollment, attendance, and persistence.
  • Prepare reports for school leadership.
  • Ensure compliance with all enrollment and attendance regulations.
  • Utilize PowerSchool and other student information systems efficiently.
  • Maintain confidentiality of scholar records.
  • Perform additional duties as assigned.
Minimum Job Requirements
  • High School Diploma required; Associate's or Bachelor's Degree preferred.
  • Experience in student recruitment, enrollment, attendance, family engagement, or school operations preferred.
  • Knowledge of student information systems such as PowerSchool preferred.
  • Strong customer service and relationship-building skills.
  • Excellent organizational and communication skills.
  • Ability to analyze data and maintain accurate records.
  • Ability to work occasional evenings and weekends for recruitment events.
  • Valid driver's license preferred.
