We are seeking a highly organized, detail-oriented individual with a sense of urgency to join our team as a Document & Mailroom Coordinator. In this role, you will manage mailroom operations, document processing, and vendor relationships to keep our business running efficiently.
Key Responsibilities
Mailroom Operations
- Manage all incoming and outgoing mail and packages, including courier deliveries and pick-ups
- Prepare and process outgoing mail and assist with returned or unclaimed mail
Document Management
- Collect, sort, prepare, and scan documents
- Label and enter documents into the system, ensuring accuracy and quality
- Perform post-scanning quality checks and file original records
- Secure and properly dispose of confidential documents
Financial Support
- Print and scan checks for deposit for Escrow and Commission teams
- Print Garnishment and SEP checks.
Vendor & Inventory Management
- Maintain relationships with courier services (UPS, USPS, FedEx)
- Track mail and UPS invoicing using Excel
- Order and maintain office supplies and stockroom inventory
- Replace toner in printers and copiers and manage service requests with equipment vendors
Other Duties
- Provide coverage for other business service functions as needed
- Maintain a clean desk policy and secure environment
Qualifications
- High School diploma required
- 1–2 years of experience in a similar role
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Ability to learn new software quickly
- Strong organizational and communication skills with keen attention to detail
- Comfortable with light physical activity, including lifting to 25 lbs. occasionally
- Regular, predictable attendance is essential
- Positive attitude and commitment to delivering premier service
