About the RoleAs the Coordinator, Digital Reporting, you’ll carry the administrative and operational load for the Digital Reporting team so that Area Digital Reporter Managers (ADRMs) can focus on coaching, quality, and performance management. You’ll keep Digital Reporter records, systems, credentials, equipment, and communications accurate, current, and aligned with Esquire’s standards and best practices.
Key Responsibilities- Coordinate onboarding and account setup for new Digital Reporters, including SPP, Box, and eLitigate.com access, onboarding plans, and welcome communications
- Complete vendor setup tasks, collect signatures, and maintain accurate vendor and ZIP code records
- Order, track, receive, and ship equipment and supplies, and maintain inventory counts and reorder points
- Support Academy enrollment and apprenticeship tracking, including activity reports, Confluence acknowledgments, and daily RV availability updates
- Coordinate AAERT membership, notary applications, and certification renewals, sending reminders ahead of expiration
- Pull, reconcile, and distribute onboarding and performance reports, and log and escalate returned jobs and system errors
- Respond to Digital Reporter and ADRM inquiries and maintain audit-ready onboarding, equipment, and credentialing documentation
- Skills: Excellent interpersonal, written, and verbal communication skills, with strong organizational skills and the ability to multi-task, shift priorities, and manage a high volume of administrative requests
- Experience: Minimum of one year of administrative, operations, or vendor coordination experience required, three years preferred; legal services industry experience is a plus
- Technical: Working knowledge of Microsoft Excel, Word, and Outlook, and the ability to learn platforms such as NetSuite, Box, Confluence, Canvas, SPP, and DOMO
- Education: High school diploma or equivalent required; some college experience or a college degree preferred
- Personal Attributes: Detail-oriented and service-minded, with the ability to work under pressure and take direction from more than one supervisor
- Other Requirements: Knowledge of court procedures, legal documents, and legal terminology is preferred
- Timely, accurate onboarding tasks and vendor record updates
- On-time tracking and completion of certification, notary, and AAERT membership renewals
- Fast, reliable response to ADRM and Digital Reporter requests, with equipment and supplies fulfilled accurately and on time
This is a remote position performed from a dedicated home workspace with reliable internet connectivity. You’ll spend much of your day at a computer, with occasional lifting and moving of equipment (up to 30 pounds) and periodic onsite presence as needed. Skills Required
- High school diploma or equivalent
- At least one year of administrative, operations, or vendor coordination experience
- Ability to read, interpret, and draft business documents and written instructions in English with accurate grammar, punctuation, and spelling
- Working knowledge of Microsoft Excel, Word, and Outlook, including maintaining tracking spreadsheets
- Strong interpersonal, verbal, written communication, organizational, data entry, and record-keeping skills
- Ability to learn and navigate company technology platforms
- Ability to multitask, shift priorities, manage high-volume administrative requests, meet deadlines, and work under pressure
- Ability to resolve challenges, support process improvement, and maintain effective stakeholder relationships
- Some college experience or college degree
- Three years of administrative, operations, or vendor coordination experience
- Experience working in the legal services industry
- Knowledge of court procedures, legal documents, and legal terminology
- Experience with NetSuite or similar vendor or CRM systems
