About the Job.
The Contracts Specialist will be responsible for drafting, managing and processing written contracts, and change orders ensuring compliance, accuracy, and efficiency.
The ideal candidate will have experience in contract administration and the commercial real estate industry, with a keen eye for detail and strong organizational skills.

Essential Functions & Responsibilities

Contract Management

  • Draft, review and administer contracts, based on approved proposals and utilizing JPI’s contract templates.

  • Ensure all contracts comply with legal and regulatory requirements, company policies, and industry best practices.

  • Maintain an organized system of contracts, amendments/change orders, for Master Service Agreements and project specific contracts using company standard SharePoint site.

  • Utilize the internally developed soft cost tracker tool to manage priorities, approvals and ensure visibility throughout the entire contract lifecycle for all internal stakeholders. 

  • Responsible for prioritizing work load and tracking key deadlines to support operational needs and vendor start dates.

  • Lead the coordination and scheduling of any contract negotiation meetings and related documentation,  ensuring attendance from third party vendors and internal stakeholders.

  • Recommend process improvements related to contract management, compliance and efficiency.

Collaboration & Compliance

  • Work closely with Operations, Development, Legal and Accounting to streamline contract administration.

  • Ensure all contracts comply with legal, regulatory, and insurance requirements.

  • Support JPI’s internal growth initiatives by developing best practices for contract management.

Non-essential Functions & Responsibilities

  • Other duties as assigned.

Education, Work Experience, & Physical Requirements

  • 2+ years of experience in contract administration within the construction, real estate, or architecture/engineering industry.

  • Strong understanding of consultant agreements, AIA contracts, and commercial real estate/architecture/construction industry best practices.

  • Ability to work independently and manage multiple priorities simultaneously in a fast-paced environment.

  • Proficiency in contract management software, Microsoft Office, and Workday financial tracking systems.

  • Excellent attention to detail, organizational, and communication skills.

  • Ability to work independently and collaboratively across departments and internal design studios.
