Position Summary

The Contracts Coordinator supports the Project and Assistant Project Managers with reviewing contracts, setting up the internal accounts and templates, and submitting monthly billing as required on each contract. This position also supports the Operations Analyst team with operations and inventory related tasks.

Job Duties & Responsibilities

  • Reviews and negotiates contracts with the guidance of the legal department, identifying requirements, communicating with appropriate parties (internal and external) and coordinating timely execution of contracts. Prepares and submits payment applications according to contract requirements. Monitors contract accounts for timely payment and collaborates with Management to minimize risk and ensure full payment is received.
  • Supports projects by providing scope review, cost information, preparing/updating estimates, and coordinating other elements of project setup.
  • Collaborates with AR and Credit departments on contract payments and asses high-risk accounts. Maintains and provides weekly and monthly reporting on payment applications and outstanding change orders.
  • Reviews master service and vendor agreements.
  • Supports monthly and quarterly physical counts and adjustments for a selected market.
  • Reviews and prepares monthly open orders review for a selected market.

Job Qualifications

  • Accounting or a minimum of two years of contract billing experience.
  • Proficient with Microsoft Office (Excel, Word, PowerPoint, Outlook) and third-party billing software. Ability to adapt well to various software applications.
  • Demonstrated analytical and problem-solving skills. Ability to work independently and amongst cross-functional teams.
  • Professional-level verbal and written communication skills and the ability to negotiate agreement between parties with different perspectives.
  • High level organizational skills, time management skills and ability to work effectively in a fast-paced environment to consistently meet deadlines.
  • Flooring or other construction estimating experience preferred.

Working Conditions

  • Office Environment. Mostly sitting, computer, phone, communicating verbally and in writing. Some standing and lifting of 10+lbs.
  • Position is on-site or Hybrid after 90-days from hiring and upon approval
