Summary:

The Contracts Coordinator is a critical in-person office role that supports the overall efficiency of the contracting process. The Coordinator has primary responsibility for providing administrative support and communication triage support to PHS Attorneys, the Legal Services Department Executive Assistant, Legal Contracts Manager, and reports to the Associate General Counsel. This role is entrusted with a high level of responsibility for maintaining confidential, sensitive, and privileged information. This role requires adaptability, flexibility, dependability and accountability; a high level of professionalism, attention to detail, and independent judgment. Strong analytical, interpersonal and organizational skills; multitask and work collaboratively with others and independently in order to accomplish goals. Responsibilities:

  • Triage phone calls and other communications to provide appropriate guidance and further direction to callers, including redirection to other PHS departments such as Risk, Patient Complaints, Media, or PHS Legal counsel.
  • Coordinates contract administration for the Presbyterian legal department.
  • Serves as administrator for contract lifecycle management system and the generation of reports as needed
  • Must be able to understand legal documents and terminology such as parties to a contract, and basic contract terms at a high level.
  • Expected to successfully communicate with department attorneys and carry out attorney direction on contracting.
  • Coordinate contract documents through appropriate signature authority and to the vendor for execution for contracts assigned to Legal Department.
  • Data entry and file management of all Legal Department contracts into the Contract lifecycle management System.
  • Coordinate, with Supply Chain personnel, the operations of Contract lifecycle management System including trouble shooting problems reported by PHS staff, opening contract files, loading/updating contract related documents and archiving workflows/contract files as needed.
  • Develop and maintain positive and external customer relationships by coordinating with other departments or function areas to resolve customer problems when necessary. Ensure quality, integrity and timeliness of the departmental reports.
  • Continuously identify methods for automating office processes and improving department efficiency. Provide administrative support as needed to PHS General Counsel and Legal Team.
  • Assist with other legal department needs as necessary.
  • Work rapidly and accurately under pressure with attention to detail.
  • Establish and maintain effective communications and presentation skills for all levels of the company, employees, patient and families, physicians, attorneys, insurance professionals, and people in all aspects of the community and business affiliations.

Qualifications:

  • High School Diploma or GED, some college preferred.
  • 5 years experience in legal administrative or paralegal work at a legal office.
  • Must be proficient in Microsoft Office; ability to compile reports, graphs, letters, memos, meeting minutes other related legal

  • Requires excellent organizational and interpersonal skills.
  • Ability to deal with all levels of staff and management within the organization as well as the public under sometimes stressful conditions.
