Job Description
Job Summary
This position reports to the Sr. Director of Contracts and supports all department staff. This position requires a professional who is well organized, can multi-task, and has excellent communication skills. Consistently works on complex assignments requiring independent action and a high degree of initiative to resolve issues. Acts independently to determine methods and procedures on new assignments. Performs administrative duties as assigned.
Key Areas of Accountability include:
- Assisting and supporting various cradle-to-grave Contract and Subcontract Administration activities from proposal development to closeout.
- Drafting various agreements including but not limited to nondisclosure, teaming, and consulting.
- Supporting Director and department personnel with organizing and maintaining electronic record retention and databases.
- Supporting department personnel with travel and expense reports.
- Coordinating events including customer meetings, luncheons, and company celebrations.
- Maintaining office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Interacting and communicating effectively, both verbally and in writing, with all levels of management, employees, customers, and subcontractors.
Additional responsibilities will include:
- Supporting proposal administrative activities, including maintaining proposal log requests, data entry and distribution of relevant information.
- Maintaining SharePoint repositories and associated information as it relates to the business area.
- Responsible for confidential and time sensitive material.
- Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports.
- Generates complex reports and handles multiple audit requests.
- Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Qualifications
- Bachelor’s degree with 0-2 years of experience or High School Diploma and 6+ years of related experience required.
- Demonstrated experience and knowledge with various computer software including high level skills using Microsoft programs (Excel, PowerPoint and Word)
- Excellent communication skills with ability to interact with various departments.
- Ability to multi-task in a fast paced and dynamic environment.
- Detail oriented skills are a must.
