Hunton Services, a division of the Hunton Group in Houston, TX (www.huntongroup.com), is seeking to hire a Contracts Administrator. Ideal candidate will need to have the ability to "think outside the box" but also carry out instructions furnished in written, verbal, or diagram form as well as follow company/departmental policies. Contracts Manager must also be able to effectively communicate with all levels of management.
Responsibilities:
- Prepare estimates and proposals for new service agreements
- Monitor and report on profitability of service agreements at time of renewal; prepare proposals for renewals
- Revise estimates and proposals as requested by Sales department
- Track new contract and renewal proposals and update sales team and management on status
- Work with sales and service managers to analyze and mitigate risks associated with full maintenance contracts
- Invoice service contracts monthly
- Explain terms and answer questions regarding contracts for both customers and coworkers
- Resolve invoicing issues as they arise
- Schedule contract turnover meetings between sales and operations teams
- Prepare and disseminate reports to appropriate departments regarding contract status
- Cancel expired contracts in WennSoft
- Enter new and renewal contracts in WennSoft and set up tasking, revenue and billing schedules
- Maintain organized system of physical and digital records
- Enter new equipment and inactivate replaced equipment in WennSoft
- Revise existing contracts as necessary
- Perform other tasks as assigned
Skills Required:
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. Must have experience using Excel with an emphasis on formatting and using formulas. Must be able to multi-task and use multiple accounting softwares.
Education and/or Experience Required:
- High School diploma
- 2 - 4 years of related experience
- Working knowledge of Microsoft Office products
- HVAC Industry experience is preferred
Skills Required
- Strong basic math skills (whole numbers, fractions, decimals, rates, ratios, percentages)
- Experience using Excel with emphasis on formatting and formulas
- Ability to multi-task and use multiple accounting software systems
- High school diploma
- 2-4 years of related experience
- Working knowledge of Microsoft Office products
- HVAC industry experience
