Essential Responsibilities:
- Administers subcontractor onboarding processes and coordinates with other internal stakeholders and groups which form part of this process.
- Supports with the maintenance of subcontract databases, including uploading executed documents and tagging them with the appropriate data points.
- Drafts and prepares templated subcontracts, work orders, amending agreements for internal approvals and execution
- Reviews and track subcontractor onboarding documents, including insurance documentation, to ensure completeness and compliance with contractual requirements.
- Uploads and logs executed client contracts as provided by Operation Teams.
- Generates quarterly reports of client contracts approaching expiration and distributes these reports to applicable internal teams to action.
- Drafts templated NDA’s as requested by Operations and coordinates electronic signatures
- Drafts templated commercial leases and coordinates electronic signatures.
- Assists in reviewing quarterly Subcontractor Paid report to verify subcontractor compliance and notifies Project Teams of any deficiencies identified.
Qualifications:
- Minimum 2 year of experience in an administrative support role working with contracts and/or certificates of insurance (construction, architectural, engineering and/or commercial development industry preferred)
- Experience in electronic record management.
- Ability to manage records effectively and maintain strict confidentiality when necessary.
- Strong verbal and written communication skills, including the ability to work independently and seek guidance as needed.
- Excellent organizational skills and the ability to juggle multiple priorities and interruptions while meeting deadlines in a fast-paced environment
- Familiarity with Microsoft Word is required.
- Knowledge of telecom construction industry an asset.
- Familiarity with other Microsoft programs, Salesforce, and Adobe Programs (i.e. Excel, SharePoint, Adobe Pro, Conga) is an asset.
Compensation
$41,600.00 - $57,200.00This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
