Under direct supervision, responsible for assisting with low to moderate risk contract execution and management in accordance with applicable regent's rules and state regulations. Assists with the preparation of contract administrative requirements.
ResponsibilitiesAssist in preparing and processing contract documents from initiation through execution, ensuring accuracy and completeness .
Review and assist with drafting, revising, and amending contracts in accordance with University Rules and applicable guidelines.
Provide administrative and analytical support in the development and fulfillment of contract requirements .
Utilize Microsoft Excel and other systems to track contract activity, manage datasets, reconcile information, and produce reports (e.g., pivot tables, lookups, and dashboards).
Assist with contract negotiations by preparing documentation, tracking changes, and maintaining communication records.
Perform routine data entry, tracking, and reporting, maintaining contract logs and generating standard reports for internal stakeholders.
Help investigate and resolve contract-related issues by collecting information, identifying discrepancies, and escalating as needed.
Coordinate with internal departments and external vendors to support contract processing and ensure timely completion of tasks.
Maintain electronic contract files, records, and supporting documentation with a strong focus on organization, audit readiness, and data integrity.
Performs Contract Monitoring throughout the lifetime of the contract including Renewals, Amendments, and Terminations.
- Performs all other duties as assigned.
Fundamental knowledge with project/program management, contract negotiation, purchasing and full-cycle procurement processes.
Proficiency in Microsoft Excel and data tracking tools to support reporting, maintain logs, and monitor contract activity
Ability to operate in a high volume, fast paced environment.
Strong multitasking with the attention to detail.
Ability to coordinate and support operational initiatives to meet or exceed service standards and expectations in a timely and respectful manner.
Education
Bachelor's Degree degree or related/equivalent experience is preferred.
About Us- Front-loaded Paid Time Off: 128 to 208 hours (16 to 26 days) of Paid Time Off based on years of service, given at the start of each fiscal year. PTO may be prorated in year one based on date of hire.
- Extended Illness Bank: 8 hours (1 day) accrued per month which can be used for illness or injury after one day of Paid Time Off is taken.
