Position Title: Contract Manager                                 

Reports To: Chief Financial Officer                             

Department: Accounting                 

Classification: Full Time Year-Round                       

FLSA Status: Exempt                                                            

 

Position Overview

The Contract Manager is responsible for the full lifecycle management of contracts, leases and agreements, including drafting, review, negotiation, execution, compliance monitoring, and renewal management. This role serves as a key liaison between internal stakeholders, legal counsel, and external counterparties to ensure contracts align with organizational objectives, risk tolerance, and regulatory requirements.

Job Duties

 

CONTRACT LIFECYCLE MANAGEMENT

  • Draft, review, negotiate, and administer a wide range of contracts, including vendor agreements, service contracts, leases, licensing agreements, NDAs, and amendments.
  • Manage contract workflows from request through execution, ensuring timely approvals, contract renewals, and adherence to internal controls.
  • Maintain a centralized contract repository and ensure contracts are accurately indexed, tracked, and retrievable.

RISK, COMPLIANCE & GOVERNANCE

  • Identify contractual risks and propose mitigation strategies in collaboration with Legal, Finance, and business leaders.
  • Ensure compliance with company policies, regulatory requirements, and applicable laws.
  • Monitor contract performance and enforce terms, including service levels, pricing, renewal dates, and termination provisions.

FINANCIAL & OPERATIONAL COORDINATION

  • Partner with Finance to validate pricing structures, payment terms, escalation clauses, and financial exposures.
  • Support budget planning by tracking contractual commitments and renewal obligations.
  • Assist with audits, due diligence requests, and contract-related reporting.

STAKEHOLDER MANAGEMENT

  • Serve as the primary point of contact for contract-related inquiries across departments.
  • Coordinate with external counsel when specialized legal review is required.
  • Train internal teams on contract processes, standards, and best practices.

PROCESS IMPROVEMENT

  • Develop and maintain standard contract templates, playbooks, and clause libraries.
  • Recommend improvements to contract management systems, workflows, and controls.
  • Support optimization of contract lifecycle management (CLM) tools.
  • Other duties as assigned.

  • Bachelor’s degree required.
  • Paralegal certification, JD, or advanced legal training preferred.
  • Experience in real estate, hospitality, or large‑scale operations preferred.
  • Familiarity with Docuware or other contract management software preferred.
  • Experience supporting audits, M&A diligence, or large vendor portfolios preferred.
  • 5+ years of experience in contract management, procurement, legal operations, or a related role preferred.
