The job
The Contract Management Specialist (CM) is a key member of AVEVA’s Contract Management (CM) team, responsible for managing the full lifecycle of customer and sales‑related contract documentation—from initial request through signature and archiving.
As a key function in the quote‑to‑fulfilment process, the CM team orchestrates collaboration across Sales, Legal Counsel, Trade Compliance, Finance, Order Entry, Deal Desk and Fulfilment teams to ensure that every contract is delivered on schedule, meets business requirements and complies fully with AVEVA’s governance standards.
We are looking for a Contract Specialist with excellent attention to detail, strong communication skills, and a solid understanding of commercial contract terminology and processes. This role is part of the Contract Management team, based in Kuala Lumpur, and will support various parts of the EMEA region as assigned. Working within UK time zone.
Please note that although this position reports into the Legal Department, it is not a lawyer, attorney, or counsel role.
Key responsibilities
Assist in preparing and managing contracts related to sales activities, ensuring all documents are accurate, compliant, and delivered within required timelines.
Ensure all contracts adhere to AVEVA’s contracting guidelines, policies, protocols and processes.
Build and maintain strong relationships with Sales, Legal and other cross‑functional teams to ensure alignment and effective collaboration.
Respond promptly and professionally to queries from internal teams and external stakeholders.
Support Trade Compliance, Credit Checks, bidding, pre‑qualification and other activities within the quote‑to‑fulfilment process.
Facilitate the contract signature process and ensure timely execution by all parties.
Maintain accurate archives of working papers and executed agreements, including relevant references and metadata.
Draft, prepare and edit documents—such as NDAs, Termination Letters, Novation Letters and Price Escalation notices—under Legal and senior CM supervision.
Provide administrative support and assist with additional tasks as required
Essential requirements
Bachelor’s degree and hands‑on experience in commercial contract management or administration. Significant relevant experience may be considered in lieu of a degree.
Proven experience in drafting and reviewing contracts with strong attention to detail.
Strong organizational, prioritization and time‑management skills.
Energetic, proactive, detail‑oriented and an effective team player.
Excellent communication skills with a professional and client‑focused approach.
Excellent command of written and spoken English.
Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).
Willingness and ability to support EMEA time zones, including adjusted working hours when required
Desired skills
Proficiency in other languages are desirable
Familiarity with IT tools such as Salesforce, SharePoint, Powerpoint, Acrobat and DocuSign CLM
