Job Summary
Key Responsibilities:
Contract Management
- Act as the primary point of contact for all matters related to the supply agreements and the operating service agreements.
- Administer and monitor the performance of the supply agreements to ensure both parties meet contractual obligations. Including, but not limited to (1) ensure product forecasts are developed and entered into relevant forecast systems in a timely manner; (2) Signal product changes to relevant parties; and (3) work closely with the IFF Food Ingredients BU team to ensure product and supply strategies are in alignment with supply agreements.
- Maintain a repository of contract documents, correspondence, and amendments to ensure easy access and accuracy.
Compliance and Risk Management
- Ensure that the terms of the agreements comply with legal and regulatory standards.
- Identify and mitigate potential risks or breaches in collaboration with legal, procurement, and other departments.
Relationship Management
- Foster effective communication and collaboration between Roquette and the IFF Food Ingredients organization.
- Serve as a liaison to resolve disputes or issues that arise during the execution of the agreement.
- Ensure (product) questions between organizations are directed to the relevant stakeholders and document answers and (agreed) procedure (changes)
Performance Tracking
- Monitor contract performance metrics, including service levels, delivery timelines, volume requirements, quality standards, and financial metrics including variances.
- Prepare and present regular reports on contract status, performance trends, and key areas for improvement.
Amendments and Negotiations
- Facilitate amendments or revisions to the agreements as business needs evolve.
- Support and/or be consulted in renegotiating contract terms when required and ensure updates are documented properly.
Training and Support
- Educate internal stakeholders on key contract requirements and compliance expectations.
- Provide guidance and support to team members involved in managing contractual obligations.
Duties & Responsibilities
- Serve as the key point of contact between the assigned site/region leaders and owners for the BU and the contracted third parties to ensure accurate and effective execution of the agreements
- Manage contracts as a receiver as well as a provider of services as defined in the contracts and schedules
- Articulate the contract terms and conditions to relevant stakeholders in the business to effectively implement them
- Ensure business adherence to schedule terms and conditions (i.e. minimum order quantities, lead times, costs, field of use, etc.)
- Responsible to comply with and manage contract notice requirements for change requests, termination or escalation to the IFF Food Ingredients Leadership Team.
- Ensure there are no deviations from the terms and conditions
- Facilitate resolution of cross functional issues and impacts to Global and Local service delivery
- Serve as focal point and the conduit to the IFF Food Ingredients Leadership Team to review impacts and dependencies associated with early termination and service change requests, including gathering of data, approval of BU President, cross functional and cross service impacts
- Monitor performance of third party to ensure billing is consistent with contract schedules and fees
- Escalate any disputes to and work collaboratively with the IFF Food Ingredients Leadership Team to determine dispute resolution
- Work within the BU to forecast the impact of the contracts on business operations and financial planning
- Partner with the IFF Food Ingredients Leadership Team to monitor contract performance, compliance and any financial planning roll ups
- Collect, report and manage contract performance metrics
Qualifications:
- Bachelor’s degree in business administration, legal studies, or a related field (advanced degree preferred).
- Proven experience as a contract administrator or in a similar role.
- Strong knowledge of contract law, negotiation, and administration best practices.
- Excellent communication, organizational, and interpersonal skills.
- Attention to detail and ability to manage multiple priorities effectively.
Preferred Skills:
- Experience working on supply agreements within a divestiture or corporate restructuring context.
- Familiarity with [industry-specific regulations, if applicable].
- Proficiency in contract management software and tools.
- Knowledge of the business and relevant sites & assets
- High credibility with senior leaders and across all organizational levels
- Superior organizational savvy and strategic thinking
- Ability to build and manage strong, collaborative, and cross functional working relationships
- Excellent written, verbal and interpersonal communication skills
- Strong leadership skills
- Demonstrated negotiation and problem-solving skills
- Ability to influence and resolve issues with counterparts
- Ability to explain complex contractual language in a simple and concise way to ensure ease of understanding and implementation
- Successful business partnering experience
- Experience with contract management or third party manufacturing management is not required, but preferred
- Experience working in manufacturing is preferred
