Contracts
- Contract Support: Assist in the creation, review, and maintenance of contracts; analyze contract language and assist with negotiations as needed.
- Systems & Tools: Input contract, pricing data, and vendor information into systems such as Intelagree or similar Contract Management Software; utilize tools to track and manage contractual process.
- Data Analysis & Reporting: Generate reports using Excel, PowerPoint, and applicable contract management systems. Perform analytics to support business decisions.
- Communication & Collaboration: Regularly interact with management and finance professionals to ensure efficient contract and procurement operations. Maintain strong written and verbal communication with all stakeholders.
- Organization & Efficiency: Maintain an organized approach to track contract status, pricing changes, report metrics, and establish and monitor performance of existing vendors. Ability to adapt quickly to new systems, processes, and challenges.
Insurance Program Administration
- Assist in renewal process including document creation, data analysis, and submission.
- Assist with day-to-day requests including certificates of insurance, coverage review, and updates.
- Ensure all locations, vehicles, or any applicable items are updated in a timely manner when requested.
Compliance Program
- Review, organize, and analyze conflict of interest submissions.
- Work in conjunction with Corporate Compliance Team to implement and maintain specific compliance objectives.
- Support Corporate Compliance Team with policy and training updates when required.
Administration
- Filing of documentation for Administration, Safety, and Compliance when required.
- Assist with corporate credit card program when required.
- Assist Director of Administration, Safety, and Risk with audit requests and documentation.
- Assist in Facility needs including requests, cost analysis, and invoicing.
- Assist with local, state, and federal government filings.
- Support Director of Administration, Safety, and Risk with applicable areas of Logistics and fleet management.
- Support Administrative team with travel, catering, coverage, and all other areas when needed.
QUALIFICATIONS
- Must be a self-starter with a positive attitude. Possess strong interpersonal and priority-setting skills to identify and determine steps needed to accomplish assigned tasks and execute them.
- Possess high organizational skills and exhibit resourcefulness. Possess excellent project management and analytical skills with attention to detail.
- Able to build and foster relationships with cross-functional and remote teams, all levels of the organization,and external partners.
- Ability to communicate and present information professionally, effectively, and concisely within a team environment. Excellent written, visual, and verbal communication skills.
- Ability to work in a fast-paced, dynamic environment and adjust to new priorities as required.
EDUCATION AND EXPERIENCE
- Bachelor’s degree required, with a focus in Business, Finance, Accounting, or related field strongly preferred.
- Five years of office experience, ideally with exposure to contracts, compliance, or finance.
- Healthcare industry, contract, or pricing experience is beneficial.
- Proficiency in Excel (intermediate level: calculations, reporting) is required.
- Experience with Salesforce and/or PowerPoint is a plus.
