Role Summary:
Northern Trust is seeking a highly organised and proactive Policy Governance Consultant to join our team. The Policy Governance Consultant will be responsible for assisting with the oversight of the identification, development, implementation, and management of governing documents (policies, standards, procedures) within the COO. This role is pivotal in ensuring compliance, effective risk management, and the smooth operation of our governance framework.
Major Duties:
Support Document Owners in fulfilling governing document management responsibilities and determining document scope.
Coordinate approval governance and ensure appropriate stakeholder involvement.
Liaise with Enterprise policy owners and managers on impact and communication of global policies on the COO, including the move of ownership from the 2LOD to the 1LOD and those with entity impact.
Maintain and manage the inventory of governing documents, including renewal cycles and retirement processes.
Identify and collaborate with Subject Matter Experts (SMEs) for document development and review.
Provide review and challenge for governing documents within the Business Unit or Corporate Function.
Advise on the creation, approval, implementation, and retirement of governing documents.
Ensure documents adhere to policy, style guides, and classification standards.
Coordinate communications and training for stakeholders regarding new or revised policies.
Oversee implementation plans, monitor adherence, and escalate exceptions or breaches as necessary.
Aggregate and report on governing document exceptions and breaches.
Maintain a calendar to track regular review cycles and document ad-hoc reviews and updates.
Liaise with the Governing Documents Office (GDO), governing bodies and other relevant parties for governance, reporting, and escalation.
Knowledge and Skills:
Attention to Detail: Maintains accurate inventories, ensures compliance, and conducts quality control reviews.
Project Management: Manages timelines, implementation plans, and coordinates multiple stakeholders.
Communication: Strong written and verbal communication skills for policy drafting, stakeholder engagement, and training delivery.
Analytical Thinking: Reviews, challenges, and improves governing documents and processes.
Collaboration: Works effectively with SMEs, document owners, and cross-functional teams.
Problem Solving: Identifies issues, escalates appropriately, and proposes solutions for exceptions and breaches.
Change Management: Supports organisational change through policy updates and training.
Technical Proficiency: Familiarity with document management systems and policy repositories.
Experience and Qualification:
Proven experience in policy management, governance, risk, or compliance within a regulated environment (e.g., financial services, legal, corporate governance).
Experience coordinating cross-functional teams and managing complex documentation processes.
Familiarity with regulatory requirements and standards relevant to the organisation.
Demonstrated ability to manage document lifecycles, including development, approval, publication, implementation, and monitoring.
Experience in stakeholder engagement, training coordination, and change management.
