Status: Full-time, non-exempt 

Location: Hybrid - In-office/Hybrid in Burlington, ON, Canada

Salary Level:   $60,394 - $67,942 CAD

PURPOSE:   

The Constituency Services Coordinator plays a vital role in maintaining and growing World Renew’s constituency base to support the current and future needs of the organization. This position ensures high-quality donor service, accurate data management, and effective coordination of giving programs. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administers World Renew Canada’s main phone line by providing primary telephone coverage each day, triage requests, maintain and update voicemail messages as appropriate, and arrange for telephone back-up as needed.  
  • Supports the (CORE) Constituency Relations teams with inbound and outbound communications needs including, but not limited to; incoming email inquiries, direct mail etc.  
  • Provides support and guidance to volunteers serving in various roles.  
  • Provides administrative support to the Constituency Relations Teams (CORE), including, but not limited to:  processing inbound and outbound mail, filing, printing, database management, the collection of data and information for the purposes of reporting, etc.  
  • Updates constituent information in the Salesforce CRM system including merging contacts, deduplication of records, updating demographics, returned mail address updates, mail frequency and receipt preference updates, and other contact information changes.  
  • Manages the acknowledgement processes for Memorial/In-Honour Donations.  
  • Works closely with Gift Processing and Finance teams to address and resolve donation concerns.  
  • Supports the administrative and business processes related to the Annual Gift Catalog program, primarily during the months of October through January each year.   
  • Maintains an active understanding of all current direct mail, email, and appeal campaigns to answer specific questions from donors and prospects via phone and email. (Base level of knowledge about ongoing work in the spaces we serve.)  
  • Coordinate the Logistics for Discovery Trips in partnership with Donor Relations and Church Relations team members.  
  • Coordinate mailings and requested work materials for remote Donor Advisement team members. 
  • Coordinate the logistics for World Renew events, including but not limited to event invites, purchasing, set-up, follow-up tasks etc.  
  • Enters single and recurring donations received via telephone; update recurring donation information as requested. Provides required information from entered donations to Database & Gift Processing team for posting and receipting. 
  • Actively communicates with recurring donors regarding declined credit cards and soon-to-be expired credit cards; update credit card information in the Salesforce CRM as provided by the donor. 
  • Coordinate data and gift processing related to specific appeals and campaigns, including planned giving and annual reports, in partnership with other departments. 
  • Perform other duties as assigned.

EDUCATION AND EXPERIENCE 

  • High School Diploma with some college coursework or at least two years’ work experience in updating database records is required; exposure to or work in fundraising platforms or donor recognition best practices is preferred.

    Skills Required
