The Commercial Coordinator handles the daily office routine such as answering telephone calls, translating documents, handling in-and-out going correspondence, maintaining a systematic filing system, etc.

Responsibilities

As the Commercial Coordinator, you will be responsible for performing the following tasks to the highest standards:

  • Translate Japanese documents and correspondences for the Commercial department.

  • Provide real-time verbal translations during interactions between Japanese and English.

  • Maintain a systematic filing system for all contracts, agreements, etc.

  • Maintain updated employment records of all local staff within the Commercial department.

  • Handle in-and-out going correspondence.

  • Answer the phones and pass on messages within the Commercial Department.

  • Assist in the preparation of reports required.

  • Perform other tasks that may be assigned from time to time by the Commercial Director.

  • Assist with duty rosters, leave applications and all data concerning the Commercial department.

  • Assist in purchase stock / inventory according to purchasing procedures and specifications.

In addition, this role requires the following minimum qualifications:

  • Proficient in English, with good Japanese-English translation skills to meet business needs.
  • Proven experience in an administrative or secretarial role is preferred.
  • Strong time management skills with the ability to prioritize and follow directions effectively.
  • Confident in handling confidential information with discretion and professionalism.
  • Well-organized with strong administrative and coordination abilities.
  • A proactive, detail-oriented team player who thrives in a fast-paced environment.
  • Well versed in the use of computer systems and Microsoft Office software.
  • Excellent administration and IT skills
  • Good typing skills
  • Able to take dictation and meeting minutes.
  • Committed to delivering a high level of customer service, both internally and externally
  • Flexibility to respond to a range of different work situations
  • Ability to work under pressure
