We have worked all over the United States completing thousands of projects in the field of creative multimedia shows for clients such as Paul McCartney; the Trans–Siberian Orchestra; the Rolling Stones; Lady Gaga; American Idol; America’s Got Talent; and multiple professional sports franchises in the NFL, NBA, and NHL. We have also created temporary and permanent interactive installations for world–class venues, including the Crypto.com Arena in Los Angeles and The John F. ROLE SUMMARY:
Our strength lies in the broad range of techniques and custom special effects solutions we use to create first-class spectaculars, including laser effects, video projection and mapping; pyrotechnics; architectural lighting installs; custom constructed sets; and bespoke engineered special effect solutions, for live events and permanent applications.
The Compliance & Safety Administrator supports company-wide compliance and safety programs across business licensing, fleet operations, regulatory compliance, and live event environments. This role helps administer compliance programs, manage regulatory requirements and deadlines, and support safe and compliant operations across the organization.
Working closely with the Chief Risk Officer, this position collaborates with Project Management, Operations, Human Resources, Finance, and Leadership and assists with communications and filings with regulatory agencies. The Compliance & Safety Administrator helps maintain organized, audit-ready systems while supporting regulatory research, incident documentation, process improvement, and workplace safety initiatives.

KEY RESPONSIBILITIES:
- Administer company-wide business licensing and regulatory compliance programs across multiple jurisdictions, including license applications, renewals, maintenance, and filing deadlines.
- Maintain accurate, organized, and audit-ready compliance records, documentation, and databases.
- Administer fleet and transportation compliance activities, including vehicle registrations, inspections, maintenance schedules, driver qualification files, Hours of Service records, DOT requirements, and related documentation.
- Monitor and report compliance and safety metrics, identify trends, and assist with corrective actions and process improvements.
- Maintain SDS, safety records, inspection records, and other workplace safety documentation. Assist with the development and continuous improvement of SOPs, policies, forms, and compliance documentation.
- Support incident reporting, investigations, documentation, corrective action tracking, and follow-up activities.
- Research applicable regulatory requirements and assist in providing guidance to internal teams regarding licensing, permitting, and compliance obligations.
- Partner with operational teams to ensure compliance requirements are incorporated into projects and business activities.
- Monitor compliance-related expenses and assist with budgeting, invoicing, and project cost tracking.
- Support communications, filings, inspections, and other interactions with regulatory agencies at the federal, state, and local levels.
- Support on-site operational compliance and safety efforts during company projects and live events as needed.
- Support special projects, process improvements, and internal system enhancements, including Odoo, to improve compliance tracking, reporting, and operational efficiency.
- Support employee training and communications regarding company policies, regulatory requirements, and safety initiatives.
- Provide occasional administrative and logistical support to the Permitting and Operations teams.
Requirements
REQUIRED SKILLS / ABILITIES
- Must maintain a valid driver's license and be eligible for company-approved travel.

- Ability to organize, review, and interpret compliance and safety information and identify trends or areas requiring follow-up.

- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat.

EDUCATION / EXPERIENCE REQUIREMENTS
- High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
PREFERRED EXPERIENCE
- 2+ years of experience in compliance, safety, project coordination, operations, administration, fleet, logistics, or another detail-oriented professional environment.
- Experience with licensing, permitting, regulatory filings, fleet administration, workplace safety, or other compliance-related activities.
- Familiarity with DOT, OSHA, ATF, or other regulatory requirements is a plus.
- Experience supporting audits, inspections, incident documentation, SOPs, policies, or training materials.
- Experience in live entertainment, special events, logistics, manufacturing, construction, or transportation is a plus but not required.
- Experience with ERP, database, or compliance management systems; Odoo and Adobe Illustrator experience are a plus.
PHYSICAL DEMANDS
- Ability to sit and work at a computer for extended periods
- Ability to conduct facility walkthroughs and safety inspections
- Ability to lift and carry up to 25 pounds as needed
- Ability to travel occasionally for site visits and training

Skills Required
- Strong understanding of regulatory compliance (DOT, OSHA, or similar)
- Experience working with regulatory frameworks such as DOT, OSHA, or similar governing bodies
