What You’ll Do:

As a PA/Compliance/Legal Administrator, you will provide high-level business and administrative support to the Head of the Compliance Department, including complex diary management and action item tracking. You will support the entire Compliance/Legal Function by assisting with specific projects, managing internal communications, and coordinating due diligence for third parties. A significant part of the role involves legal administration, such as preparing, submitting, and maintaining legal filings, monitoring updates in laws and regulations, managing contract workflows, and gathering documentation to support internal legal reviews, audits, and external inspections.


What We’re Looking For:

Job Responsibilities:

  • Administrative & Executive Support: Provide high-level business and administrative support to the Head of the Compliance Department, including managing a complex diary, scheduling meetings, and tracking action items on an hourly, daily, and weekly basis.
  • Project & Documentation Management: Assist the Head of Compliance Department on specific projects, including organizing case files, correspondence, contracts, and other legal documentation, as well as preparing materials for key meetings (e.g., board meetings, legal committees, and audits).
  • Team Collaboration: Support internal communications and facilitate cross-team collaboration within the Compliance/Legal Function.
  • Regulatory Filings: Assist with the preparation, submission, and maintenance of legal filings, registrations, and notifications with regulatory or governmental authorities.
  • Contract Management: Support contract management processes, including reviewing, tracking, and filing contracts, amendments, and related documentation.
  • Due Diligence: Coordinate and monitor the completion of due diligence for third parties and internal projects.
  • Training & Compliance Monitoring: Help organize and maintain training programs or briefings for employees, including scheduling, attendance tracking, and record keeping.
  • Legal Updates & Audits: Monitor updates in laws and regulations, log relevant changes, and ensure the Compliance/Legal Function is informed for implementation purposes. Assist in internal legal reviews and audits, including gathering documentation, conducting sample checks, and supporting the team’s findings.
  • Audit Coordination: Support the preparation and coordination of external audits or inspections involving legal matters, including tracking open points, compiling responses, and maintaining documentation.
  • Information & Archiving: Liaise with internal departments (e.g., Risk, Finance, HR) to collect information for reporting and ensure proper version control of documents. Organize and maintain files, contracts, and database to ensure completeness, accessibility, and proper archiving.
  • Overflow Support: Provide administrative and overflow support, including coordinating the signing, notarization, and archiving of legal documents.

Qualifications:

  • Experience: Mid-senior level experience as a Personal Assistant, Executive Assistant, or Paralegal, ideally in a high-growth or global organization.
  • Preferred Experience: Experience supporting a legal team or handling legal documentation, contracts, and administrative legal workflows is strongly preferred.

  • Judgment & Initiative: Exercises initiative, sound judgment, and the ability to make decisions in a fast-paced environment with competing priorities.
  • Organization: Strong organizational skills with the ability to manage multiple responsibilities with exceptional attention to detail.
  • Communication: Excellent written and verbal communication skills, able to tailor style to different audiences and situations.



Working Schedule:

Monday to Friday: 09:00 – 17:00
