Position Summary:
We are looking to hire a talented and eager Compliance Administrator to join our team in a remote position. The Compliance Administrator reports to the Sr. Director, Performance & Process Optimization and fulfills job duties in support of Quality, Regulatory Affairs, and Vendor Management. This role ensures compliance with statutory and regulatory standards, internal and external quality objectives, and sourcing and vendor management procedures.   
Responsibilities of this position include but are not limited to:
  • Quality Assurance 
    • Complete and deliver Quality Assessments and Questionnaires  
    • As applicable to Scout’s eQMS: 
      • Support new hire activities including user account setup, system access, and training assignments 
      • Monitor employee training completion status and support Quality Manager with follow-up as needed. 
      • Assist with personnel compliance records, including CVs, job descriptions, and other required documentation. 
  • Vendor Management supporting the Manager, Sourcing and Vendor Management 
    • Execute administrative tasks related to new vendor sourcing and ongoing vendor management including, but not limited to, qualifications, audits, contract tracking, and performance monitoring. 
    • Responsible for the scheduling of vendor training and onboarding with the Patient Liaison team. 
  • Regulatory Affairs supporting the Manager, Regulatory Affairs 
    • Support the maintenance of the Scout ICF Language Repository and associated regulatory documents 
    • Interact with project team members as necessary to deliver project-specific documents and answer client questions 
    • Provide review of study and client-specific documents as needed 
    • Maintenance of trackers and tools (e.g., Capabilities, Mileage, Minimum Wage) 
  • Occasionally help with special projects that arise 
  • Additional responsibilities as experience and growth progresses 
The ideal candidate will have the following experience, skills, and knowledge:  
  • 1 to 3 years of work in quality assurance, risk management, vendor management, or similar role in a regulated industry (e.g., healthcare, finance) 
  • 1 to 3 years supporting internal and external audits 
  • 1 to 3 years experience with Good Practice (GxP) regulations 
  • Experience with pharmaceutical, biotechnology, CRO or medical device companies or clinical trials strongly preferred 
  • Experience with eQMS, SalesForce, and/or other project management tools a plus 
  • Proficient with Microsoft Office Word, Excel and Power Point 
  • Excellent data collection and analysis skills 
  • Working knowledge of the clinical trial industry, HIPAA, GDPR, ICH/GCP 
  • Strong skill in checking data, tracking logs, and spotting errors  
  • Eager to learn and develop, with a high level of coachability and growth mindset  
  • Innovative problem solver, using critical thinking to address challenges proactively  
  • Ability to manage multiple projects simultaneously and meet project objectives within designated time constraints 
  • Strong verbal and written communication skills, and the ability to convey information in a way that others can readily follow 
  • Self-motivated and results-driven, while following instructions to achieve optimal outcomes  
  • Ability to work independently and make decisions 
  • Ability to work collaboratively with cross-functional teams
