For Linklaters Global Solutions Warsaw, we are currently recruiting for the Company Services Advisor role.
About the Team
You will join Linklaters Global Solutions (LGS) as part of the Business Management – Kowledge team, that plays a central role in supporting the firm’s legal practice by ensuring lawyers and business professionals have seamless access to high-quality legal knowledge, resources, and information.
As Company Services Advisor, you will be responsible for delivering accurate and timely company information and document filing services. The role provides essential support to Linklaters’ transactional teams—such as Corporate, Banking, and Capital Markets—by ensuring efficient processing of company filings and searches, primarily in relation to UK Companies House requirements. It plays a central part in client transactions where time-sensitive filings and registry checks are vital to successful outcomes. You will report to Knowledge Lead.
As Company Services Advisor, you will:
Provide essential company information and document filing services, supporting transactional teams such as Corporate, Banking and Capital Markets,
Ensure efficient handling of time-sensitive processes, including: filing security documents with UK Companies House; performing daily searches for winding-up petitions through court calls and online registries within set daily deadlines,
Serve as a dedicated point of contact for enquiries, manage a central mailbox, and keep the procedures manual current,
Conduct company searches and prepare information packs/reports, which includes: searching and downloading documents from databases, reviewing Companies House records,
Preparing and delivering credit check report searches and insolvency/winding-up searches.
Facilitate and monitor the filing of documents with relevant regulatory authorities (e.g. UK Companies House), ensuring compliance with required formats and accuracy,
Liaise with lawyers and external vendors to: obtain worldwide registry information and documents, clarify requirements, provide updates, and respond promptly to urgent or ad hoc requests,
Manage financial administration related to filings, such as: processing and recording payments for document-related fees; supporting billing processes and recharging costs as required,
Support data management tasks by overseeing the transition of records between databases,
Supporting accurate data entry and retrieval,
Review documents prepared by lawyers and upload to relevant systems to the UK Companies House system once familiar with the required formats,
Demonstrate strong service-orientation, attention to detail, process adherence, and flexibility to respond to changing demands.
Apply if you:
Are a graduate, ideally with a qualification in Information and Research management, or an equivalent field,
Have 1-2 years of experience in company or business research, delivering information services in a complex, international organization,
Demonstrate strong attention to detail and take a meticulous approach to tasks,
Manage Microsoft Outlook (email and calendar) effectively, and are proficient in Microsoft Word and Excel,
Are confident using English (C1/C2) to engage clearly and appropriately with stakeholders at all levels across the organization
Work diligently and thoroughly, with a focus on compliance and following established processes accurately,
Can manage competing priorities, working effectively and calmly under pressure, especially with tight deadlines,
Feel comfortable and responsive in a highly reactive service environment, systematically handling mailbox enquiries, calls and emails,
Communicate confidently and professionally, with strong written and verbal skills.
Take an organised approach to prioritising and systematically working through enquiries and filings, maintaining accuracy even when deadlines are urgent,
Have experience engaging with third-party suppliers and managing transactional cost processes, including accurately capturing matter details and recharging costs in systems,
Can work according to UK calendar.
Working hours
The core working hours are between 10 – 18.15 or 9 – 17.15 pm, alternating with a colleague each week.
Location
Warsaw (hybrid model- two days per week at the office), some travelling to UK maybe required
