Summary

The Client's Community Engagement (CE) team runs a broad portfolio of philanthropic, volunteer, and sponsorship programs, including Global Day of Service, the annual United Way campaign, and Phase 1 of the Modernization Initiative. As Project Manager, you will serve as the operational backbone for these programs and for the tools that power them — keeping tasks, deadlines, and committee work on track, owning the CE team’s project management software and workflow tooling, and administering CE’s public events calendar and Corporate Sponsorship program.

Hierarchy

This role operates within the Client's Community Engagement team, working closely with CE program owners, committee members, and cross-functional partners to keep programs, tools, and events on schedule. The Project Manager has no direct reports but serves as the CE team’s primary point of contact for project management software, workflow administration, and cross-program coordination.

Primary Duties

Program Planning and Coordination

  • Serve as project manager for the successful delivery of assigned programs, balancing priorities across multiple concurrent initiatives based on scope, complexity, and organizational needs.
  • Build and maintain integrated project plans with program owners.
  • Own task tracking, deadline tracking, dependency tracking, RAID log, and decision log for these programs. Ensures tasks are entered and managed by CE staff for other programs.
  • Assign, confirm, and follow up on tasks in partnership with program leads.
  • Surface blockers, sequencing issues, capacity risks, and unresolved decisions in a timely way.
  • Ensure deliverables are organized, versioned, reviewed, and completed according to agreed priorities.

Operating Cadence & Meeting Coordination

  • Establish and manage meeting cadences, including agenda planning, participant coordination, notes, follow-ups, and action tracking.
  • Coordinate committee and planning meetings related to modernization work, and two additional programs’ operations.
  • Ensure the right decisions are brought to the right forums at the right time.
  • Maintain clear communication routines so CE leaders and program owners understand progress, risks, and next steps.

PM Software & Workflow Administration

  • Serve as the primary owner of CE project management software, including access, permissions, standard operating procedures, staff questions, upgrades, and changes.
  • Ensure CE modernization and program tasks and workstreams are represented accurately in the PM tool.
  • Coordinate PM tool adoption and usage expectations across CE staff and contractor roles.
  • Track workflow statuses and operational progress once the relevant dashboard or workflow tooling is available.

Operational Coordination & Communications

  • Coordinate operational dependencies across the Modernization Lead, Transformation & Change Enablement Lead, Implementation Specialist, CE staff, committee members, and cross-functional partners.
  • Manage the public calendar of CE events and opportunities in coordination with contributors.
  • Manage Corporate Sponsorship program administration.
  • Support clear handoffs between modernization planning, CE operations, and future implementation activities.
  • Direct committee and planning meetings for modernization work and ongoing operations across two additional programs.
  • Ensure key decisions are brought to the appropriate forums at the right time.
  • Maintain transparent communication routines so CE leadership and program owners remain aligned on progress, risks, and next steps.

Core Competencies

  • Strong project management discipline across complex, cross-functional initiatives.
  • Proficiency with PM software, permissions, user administration, SOPs, and operational reporting.
  • Ability to manage multiple workstreams, deadlines, stakeholders, and dependencies simultaneously.
  • Strong meeting facilitation, follow-up, and written status communication skills.
  • Ability to create clarity in ambiguous environments and keep teams focused on decisions and next steps.
  • Comfort coordinating workflow tooling, dashboard status reporting, and operational handoffs.
  • High attention to detail, strong organization, and proactive issue escalation.

Required Education

Bachelor’s Degree in Business Administration, Communications, Public Relations, Organizational Leadership, Management Information Systems (MIS), or a related field

Required Experience:

10+ years of professional project management experience.

Additional Qualifications

  • Community & Event Operations: Direct experience with community events, event planning/execution, and committee management.

Certifications: PMP, Agile, or Scrum credentials preferred.

PHYSICAL DEMANDS: Regular use of hands and fingers to operate a computer keyboard, mouse, and other office equipment. Regular, repetitive movements such as typing, mouse movements, and scrolling. Ability to hear and understand spoken communications, both in person and via remote communication tools (e.g., phone, video conferencing). Ability to see and read computer screens and printed documents, as well as adjust focus. This includes prolonged periods of looking at a computer screen.

WORK ENVIRONMENT: On site at the Client's Corporate office 3 days a week (Downtown Indianapolis)

EXPECTED HOURS OF WORK: Monday through Friday, normal business hours.

New Era Technology Compensation & Benefits Highlights

The following summarizes recurring compensation and benefits themes identified from responses generated by popular LLMs to common candidate questions about New Era Technology and has not been reviewed or approved by New Era Technology.

  • Leave & Time Off Breadth Time off is positioned as generous, with multiple sources pointing to roughly four weeks of PTO up front or ~28–29 days including company holidays in some U.S. roles. Time away is also described as straightforward to use and sometimes viewed as a meaningful offset to weaker cash compensation.

  • Flexible Benefits Flexible work arrangements such as remote and hybrid options are commonly highlighted as part of the overall rewards experience. Flexible Spending Accounts (e.g., medical, dependent care, commuter transit) are also referenced as available in at least some contexts.
