If you have experience as an Assistant Property Manager, Community Association Administrator, Management Assistant, or Community Association Coordinator and are highly organized, detail-oriented, and good at keeping multiple priorities moving, this could be a strong next step.

NGMA is seeking a Community Association Transition Specialist to join our Operations team.

This is a unique role within community association management. Instead of being responsible for the daily operations of one community, you will help coordinate the onboarding and offboarding of condominium, HOA, and cooperative associations across our portfolio.

You will work closely with Community Managers and departments including Accounting, Client Relations, Vendor Relations, Communications, Applications, and Technology to ensure each new association is fully operational and ready for service from Day 1.

What You'll Do
  • Coordinate new association onboarding and offboarding projects from beginning to end.

  • Maintain transition timelines, checklists, deadlines, and project trackers.

  • Coordinate the collection of governing documents, financial records, contracts, insurance information, vendor records, homeowner data, and other association records.

  • Work across departments to ensure operational setup is completed on schedule.

  • Track system configuration, homeowner portal setup, banking, payment processing, and other implementation activities.

  • Coordinate Board onboarding and transition meetings.

  • Communicate professionally with Boards, prior management companies, vendors, and internal teams.

  • Identify missing information, delays, and potential risks before they impact implementation.

  • Provide regular transition updates and follow up on outstanding action items.

  • Maintain accurate transition documentation and help improve SOPs, templates, and processes.

Who We're Looking For

You do not need previous experience working specifically in a Transition Department.

We are especially interested in candidates who already understand community association management and want to expand their experience into operations and project coordination.

Preferred Experience
  • 2+ years of experience in community association management, property management, operations, administration, or project coordination.

  • Previous condominium, HOA, or cooperative association experience strongly preferred.

  • Florida community association management experience is a plus.

  • Experience supporting a Community Association Manager or Property Manager is highly desirable.

  • Familiarity with association financials, governing documents, vendors, insurance, homeowner records, applications, and Board operations.

  • Experience with CINC Systems is a plus.

  • Experience with Zoom Workplace, including Zoom Meetings, Team Chat, Docs, or other collaboration tools, is a plus.

  • Experience with Google Workspace, Microsoft Office, and workflow or project-management platforms is preferred.

An associate's or bachelor's degree is preferred but not required when equivalent industry experience is available.

Compensation, Schedule & Benefits

Hourly Rate: $21.00–$24.00 per hour

Schedule: Monday–Friday | 40 hours per week | 1-hour lunch break
