As a Community Assistant, you will serve as the face and voice of our community, creating a warm, inviting atmosphere while providing outstanding customer service and administrative support. This role is ideal for someone who enjoys interacting with people, staying organized, multitasking, and making a positive impact every day.

What You'll DoCreate Exceptional First Impressions
  • Cheerfully and warmly greet visitors and tenants with interest, a smile, eye contact, and verbal welcome.
  • Ascertain visitor needs and direct them accordingly.
  • When appropriate, offer visitors a seat, water, or other beverage and strive to ensure their comfort while waiting.
  • Maintain professional image and attire.
Provide Outstanding Customer Service
  • Receive incoming calls utilizing proper telephone etiquette, answering prior to three rings whenever possible.
  • Speak clearly with controlled volume and speed in a friendly, professional, and helpful manner.
  • Minimize caller wait times and connect callers to the proper extensions.
  • Place outgoing calls utilizing proper telephone etiquette.
  • Take messages, capture critical information for follow-up, and ensure timely delivery to recipients.
  • Promptly return calls and respond to messages.
Keep the Community Organized and Welcoming
  • Maintain the lobby, office, and community spaces to ensure they remain tidy, clean, and welcoming for guests.
  • Maintain marketing brochures and collect appropriate information from prospective tenants before distributing materials or scheduling tours.
  • Maintain files of employee and tenant names and locations and monitor all tenant-related portals.
  • Coordinate and maintain calendars for reservations of common spaces.
  • Maintain liaison with facility personnel, departments, and tenants.
Administrative Support
  • Perform clerical duties such as typing, filing, and other assignments as directed by the supervisor.
  • May maintain television equipment, message boards, and reservation lists for special events.
  • Assist supervisors with various department tasks and special projects as assigned.
Support Community Safety & Security
  • Assist in community security by advising Administration of potential threats or safety concerns.
  • Maintain visitor sign-in logs and distribute visitor badges.
  • Support a safe, secure, and welcoming environment for all.
What We're Looking ForEducation
  • High School Diploma required.
Experience
  • Office and/or receptionist experience required.
  • Experience using Microsoft Office programs, including Word and Excel, required.
  • Experience in a retirement community or multi-unit housing community preferred.
Skills & Qualifications
  • Intermediate to advanced computer skills.
  • Ability to type efficiently.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple projects and changing priorities.
  • Professional demeanor with excellent customer service skills.
  • Ability to work independently while collaborating effectively with a team.
