About the Role

We are seeking a highly organized, detail-oriented, and project-driven Communications Operations Specialist to support our centralized communications operations. This role will work closely with our Project Coordinator to manage and execute a wide range of letter, email, and SMS communications processes across the company. You will play a key role in ensuring all clients and internal communication requests are handled efficiently, accurately, and on time.

 As part of a growing function, this is a unique opportunity to contribute directly to the optimization and scaling of our communications infrastructure, supporting both ongoing business operations and strategic initiatives — including the integration of newly acquired companies.

Key Responsibilities:

  • Manage and execute all company communication requests via a centralized process.
  • Support setup, testing, and deployment of communication templates.
  • Collaborate with internal teams and external clients to define project requirements and timelines.
  • Manage incoming communication requests using JIRA.
  • Support monthly reporting and documentation of communication activities.
  • Assist in reviewing vendor invoices and maintaining billing records.
  • Execute and monitor Solutions by Text (SBT) campaigns.
  • Manage workflows within vendor platforms, including HTML-based systems.
  • Assist in integrating new businesses into existing communication processes.
  • Participate in initiatives to improve processes and client experience.

Requirements
  • Experience: 2+ years of experience in operations, project coordination, digital communications, or a similar role.
  • Technical Skills: Proficiency with JIRA or other ticketing/project management systems. Comfort working with vendor UIs and basic understanding of HTML is a plus.
  • Communication Skills: Exceptional written and verbal communication skills in English; bilingual (Spanish/English) strongly preferred.
  • Project Management: Strong ability to manage multiple competing priorities, deliver to tight deadlines, and stay organized in a fast-paced environment.
  • Detail Orientation: High attention to detail and data accuracy, especially when managing templates, campaigns, and reporting.
  • Collaboration: Proven ability to work cross-functionally with internal teams and external partners.
