Hourly base pay rate is $20.10 - $30.10/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Job Description

Position Summary

The Commercial Services Specialist II (Inside Administrator) provides administrative and operational support for commercial consignment accounts, auction sales processes, and internal departments. This position serves as a key liaison between commercial clients, dealership personnel, auction operations, and corporate partners to ensure accurate and timely processing of vehicle inventory, documentation, account maintenance, and customer service activities.

The role requires strong organizational skills, attention to detail, problem-solving abilities, and the capability to manage multiple priorities in a fast-paced auction environment.

Essential Duties and ResponsibilitiesCustomer and Account Management
  • Serve as a primary point of contact for assigned commercial accounts.
  • Build and maintain strong relationships with clients, dealers, lenders, and internal departments.
  • Respond to customer inquiries regarding vehicle status, sale results, title processing, and account activities.
  • Provide exceptional customer service through phone, email, and in-person interactions.
Administrative Operations
  • Process vehicle run lists, account updates, sale preparation documents, and post-sale reports.
  • Maintain accurate customer records and account information in auction management systems.
  • Review and verify vehicle information for accuracy and completeness.
  • Assist with scheduling, vehicle assignments, and inventory management activities.
Sale Support
  • Coordinate pre-sale and post-sale activities for commercial consignors.
  • Prepare auction sale packages, reports, and account summaries.
  • Monitor vehicle movement through the auction process and resolve discrepancies.
  • Ensure vehicles are properly represented and marketed according to client requirements.
Documentation and Compliance
  • Verify ownership documents, titles, and required paperwork.
  • Ensure compliance with company policies, state regulations, and client-specific requirements.
  • Maintain confidential customer and vehicle information.
  • Support audit activities and documentation reviews as needed.
Reporting and Analysis
  • Generate and distribute operational reports to clients and management.
  • Track account performance metrics and key service indicators.
  • Identify process improvement opportunities and recommend solutions.
  • Assist leadership with data analysis and account performance reviews.
Cross-Functional Collaboration
  • Work closely with Operations, Title, Arbitration, Transportation, and Sales departments.
  • Coordinate issue resolution to ensure timely customer satisfaction.
  • Support special projects and initiatives that improve operational efficiency.
Required QualificationsMinimum​​
  • High School Diploma/GED and 3 years’ experience in a related field.
  • OR the right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline.
  • OR 5 years’ experience in a related field
  • Previous experience in automotive, auction, fleet management, logistics, or related administrative roles.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Ability to work under pressure in a fast-paced auction environment.
  • High level of accuracy and attention to detail.
Preferred
  • Experience with auction management software (e.g.,AS400, ASI, Auction Edge, AutoIMS, DRIVIN, etc.).
  • Knowledge of title processing and vehicle remarketing operations.
  • Prior experience supporting commercial accounts or B2B clients.

Drug Testing

To be employed in this role, you’ll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year.
