The Role
Provide customer-facing support for commercial lending: prepare new loans and maintain existing loan files, gather CIP and borrower documentation, enter data into Verafin and Silverlake, coordinate loan closings and document ordering, manage UCCs and lien perfection, process payments and disbursements, scan and organize loan packages, handle customer service requests, and assist with SBA and government-guaranteed loan documentation.

Essential Duties

  2. Represent the bank to the customer in a courteous and professional manner.
  3. Furnish prompt, efficient, and accurate service
  4. Attention to detail and excellent communication skills are required
  5. Maintain work area in a clean, neat, and professional appearance
  6. Accept credit applications
    1. Obtain CIP documentation for individuals, run credit reports and enter Customer Due Diligence information into Verafin
    2. Obtain borrowing authorization documents for entities, input Beneficial Owner information in Verafin and obtain Certificates of Good Standing
  7. Create new customer CIF’s on Silverlake and complete BSA – Verafin questions
  8. Coordinate the preparation of loan closing documents with internal and external individuals for Commercial and Industrial loans including Letters of Credit, Floor Plans and Guidance Lines.
  9. Coordinate document ordering
    1. Open title insurance orders with title companies
    2. Request appraisal, environmental and evaluation orders through Real Estate Valuation Dept.
  10. Coordinates with SBA and other government guaranteed loan programs on gathering the proper documentation on government guaranteed loans
  11. Scheduling, closing and funding of loans;
  12. Prepare or assist in the preparation of the Loan Input Worksheet which is used to prepare the Commercial/Ag Loan Memo, provides information for Loan Doc Prep to prepare loan documents, and provides checklists (borrowing entity and collateral documentation) for Doc Review ticklers
  13. Review loan documents for accuracy prior to loan closings
  14. Prepare Loan Funding Worksheet to provide loan disbursement instructions to the centralized Loan Funding Department once loans are closed; provide drafting instructions as needed
  15. Scan loan package documents and name using naming template. Save completed loan package to Doc Review for tracking
  16. Scan documents received by mail. Name with naming template and save to exception folder to remove exception or Synergy Folder for upload to Synergy.
  17. Manages each loan to identify, file, and perfect the Bank’s lien on any and all loans, including but not limited to: UCC’s, Deed of Trust, Assignments, Subordinations, etc.
  18. Review documentation exception reports and communicate with borrowers by letter, email or phone requesting on-going financial and collateral documentation. 
  19. Complete the Exception Removal Request spreadsheet and forward to the Exception Tracking group to update tracked documents as received
  20. Complete loan advances and transfers; update construction draw spreadsheets as applicable; prepare extensions and modifications for loan payments;
  21. Process/review loan payments; Portal Pay, DMI, Private Banking and all loans housed on Silverlake;
  22. Issues cashier’s checks
  23. Prepare spreadsheet to track floor plan customers and guidance line activity
  24. Scheduling construction, equipment and floor plan inspections
  25. Utilizing Lien Solutions, order UCC searches and flood determinations; file new and terminated UCC’s, review borrower monitoring alerts
  26. Customer Services requests:
    1. Prepare AFT and ACH set up forms
    2. Enters changes in Synapsys for address changes and officer changes;
    3. Process wire transfers
    4. Prepare payoff quotes,
    5. Provide loan history information,
    6. Compile release of lien documents and etc. 
  27. Scheduling appointments for loan officers
  28. Receiving and directing phone calls
  29. Call on past due and NSF customers
  30. Participate in training sessions as required by supervisor.
  31. Other duties, as assigned by Management; some branch Lending Assistants perform additional duties:
    1. Accept stop payments
    2. Q2 Online Banking resets

Skills Required

  • Attention to detail and excellent communication skills
  • Experience using Verafin for customer due diligence and beneficial owner entry
  • Experience using Silverlake to create customer CIFs and manage loans
  • Experience using Synapsys for account changes (address/officer changes)
  • Experience with Lien Solutions to order UCC searches, file UCCs and review alerts
  • Ability to obtain CIP documentation, run credit reports, and enter CDD information
  • Ability to coordinate loan closings, order title insurance, appraisals and evaluations
  • Ability to prepare Loan Input and Funding worksheets, loan memos, and disbursement instructions
  • Ability to scan, name, and save loan package documents per naming template and Doc Review processes
  • Experience processing and reviewing loan payments and using Portal Pay and DMI
  • Customer service skills: greeting customers, answering calls, scheduling appointments
  • Experience preparing ACH/AFT setup forms, processing wire transfers, and payoff quotes
  • Familiarity with SBA and government-guaranteed loan documentation requirements
  • Ability to manage loan exceptions, track document receipt, and communicate with borrowers
