About the Role:
This position is a core member of the Commercial Learning and Development Team in Endoscopy EMEA.
The candidate will provide analytical, organizational and administrative support to the Commercial Learning and Development Managers and Specialists, helping deliver key strategic priorities for EMEA. This position offers broad cross-functional exposure and close collaboration with colleagues at EMEA, Global and Country level. Communication and collaboration conducted mostly in English language.
Key Responsibilities:
- Manage administration and logistics of EMEA divisional training meetings: meetings registration and approval; purchase orders; training rooms booking and set-up, materials sourcing, accommodation, food and beverage, and meeting surveys.
- Support new hire onboarding programs: organizing necessary materials, scheduling training calls, and aligning with key stakeholders. Will be responsible for the organization and execution of the onboarding program for functional roles.
- Coordinate internal team meetings and calendar: send invitations, prepare agendas, facilitate meetings, capture action items, follow up on next steps, and maintain the annual team calendar.
- Manage purchase orders: create and track orders, manage invoices and payments, open new vendors and liaise with suppliers.
- Manage the budget tracker: monitor department expenses, coordinate with finance, keep records up to date in the tracker and provide regular budget status updates.
- Tracking Field Sales Trainer Activities: record FST activities, update corresponding tracker and manage quarterly payments with HR and Finance.
- Manage product samples and inventory: ordering product samples, stock storage organization and maintenance of an accurate inventory tracker.
- Manage shipments: execute the shipment of products and materials across EMEA.
- Maintain Endoscopy People Masterlist: maintain accurate divisional people list.
- Support the Commercial Learning & Development Managers/Specialists in creating trainings, surveys, executive summaries, communications, and delivering key projects.
- Support sponsorship, contracts and honorariums for physicians or third-party contractors.
- Support legal and regulatory approval of training materials.
Knowledge, Skills & Ability Requirements:
- Bachelor or Master’s Degree in Business Administration/ADE, Project Management or Learning & Development.
- High level Professional English.
- Strong written and verbal communication skills.
- Strong organizational and executional skills and attention to detail.
- Proficiency in PowerPoint, Excel and Word is required; experience with SurveyMonkey, digital meeting tools, learning management systems and new technologies is highly valued.
- Strong analytical skills – including surveys, metrics creation, metrics tracking and data management.
- Capable to work autonomously and in remote environment.
- Strong collaborative skills, team player and ability to build relationships.
- Creative problem solver, self-starter and self-motivated attitude.
- Adaptable to change and able to execute with agility in a fast-paced environment.
