Mears Group is delivering a long-term social housing repairs and maintenance partnership across Birmingham. The contract includes diverse workstreams including responsive repairs, planned maintenance and compliance services, with a strong focus on customer service, quality and community investment.
Due to continued growth across the contract, opportunities are available for experienced Commercial Administrators, located in our central Birmingham office.
About the Role
We’re looking for a Commercial Assistant to join our team, focusing on planned works support. You'll play a key role in supporting day-to-day administrative functions across our planned works operations, ensuring all processes run smoothly and in line with company procedures.
This role involves working closely with colleagues, clients, subcontractors, and residents to deliver accurate, timely, and professional support. You’ll be responsible for handling communications, managing purchase orders and invoices, maintaining records, and ensuring customer experience remains central to everything we do.
Role Responsibilities
- Supporting administrative tasks across planned works contracts and internal departments
- Recording and responding to client and resident communications
- Managing materials requisitions, purchase orders, and invoicing processes
- Inputting cost data to enable timely completion and billing of planned works projects
- Communicating with residents regarding upcoming and ongoing works
- Liaising with colleagues, site teams, and subcontractors to ensure accurate and timely information is shared
- Maintaining company assets in line with policy and reporting any damages
- Attending meetings and training sessions as required
- Upholding high standards of professionalism, health and safety, and customer care
- Supporting the coordination and administration of refurbishment, investment, and improvement programmes
- Ensuring project records, documentation, and compliance information are maintained accurately and up to date
Key Criteria
- Experience in a commercial environment, ideally within the social housing sector
- Proven ability to manage administrative processes accurately and efficiently
- Comfortable working to deadlines in a busy office setting
- Strong time management, planning, and organisational skills
- Confident using computerised systems and Microsoft Office applications
- Excellent written, verbal, and interpersonal communication skills
- Strong customer service ethos with a professional approach to all interactions
- Ability to liaise effectively with service users, colleagues, and external stakeholders
- Willingness to attend meetings and training sessions as required
- Commitment to maintaining high standards of health & safety and company procedures
