Overview of Job Function:

The CLM Administrator is responsible for overseeing the configuration,  optimization, and daily operation of the organization’s Contract Lifecycle Management (CLM) system for the legal department. This role ensures that contract workflows, templates, and data are accurate, compliant, and aligned with organizational requirements. The CLM Administrator partners with Legal, Procurement, Sales, IT, and other business stakeholders to support end‑to‑end contract processes, enhance user experience, and drive continuous improvement within the CLM platform.

Responsibilities

Principal Duties and Essential Responsibilities:

  • Maintain and configure the CLM system, including workflows, templates, and clause libraries,.
  • Troubleshoot user issues to ensure platform stability and reliability.
  • Manage system updates, enhancements, and version releases in coordination with IT and the CLM vendor.
  • Serve as the primary point of contact for CLM users, providing guidance, troubleshooting, and day‑to‑day functional support.
  • Develop, maintain, and deliver training materials, user guides, and onboarding sessions.
  • Monitor user activity and adoption, recommending improvements where needed.
  • Ensure data integrity, accuracy, and compliance across all contract records.
  • Perform regular audits of metadata, workflows, templates, and contract repositories.
  • Support reporting and dashboard creation for contract analytics and KPIs.
  • Collaborate with cross‑functional leaders to refine contracting processes and implement best practices.
  • Maintain documentation for configurations, business rules, and governance procedures.
  • Participate in contract policy enforcement and ensure CLM workflows align with legal and regulatory requirements.
  • Work with IT and business teams to support integrations between the CLM and CRM, ERP, e‑signature, and other systems.
  • Identify opportunities for automation and system efficiencies.
Qualifications

Minimum Requirements:

  • Bachelor’s degree in Business, Information Systems, Legal Studies, or related field—or equivalent professional experience.
  • 2–4 years of experience administering a CLM platform or similar business system. 
  • Knowledge of contract processes, contract terminology, and lifecycle workflows. 
  • Experience with system configuration, troubleshooting, and user support. 
  • Strong analytical, problem‑solving, and documentation skills. 
  • Ability to collaborate with stakeholders across Legal, Procurement, Sales, IT, and Finance. 
  • Excellent communication and training abilities.

Preferred Qualifications:

  • Experience with the ContractPodAI / LEAH CLM platform, or other similar platforms (e.g., Icertis, Conga CLM, DocuSign CLM, Agiloft, Ironclad, ContractWorks). 
  • Familiarity with CRM or ERP systems, such as Salesforce, SAP, Workday, or Microsoft Dynamics. 
  • Understanding of relational data structures and metadata management. 
  • Knowledge of workflow design, business process automation, or low‑code configuration tools. 
  • Background working in Legal Operations, Procurement Operations, or contract management functions. 
  • Professional certifications related to CLM, Legal Operations, or Process Improvement (e.g., IACCM/WorldCC).

Skills Required
