The Clinical Services Coordinator serves as an essential member of University Counseling Services, helping students access care while ensuring the efficient daily operations of the counseling center. This customer-centric role is responsible for supporting student wellness initiatives, coordinating intake and referral processes, maintaining confidential records, and assisting with campus-wide mental health programming. The Clinical Services Coordinator must demonstrate professionalism, empathy, and sound judgment when handling sensitive and confidential matters. The individual is a member of the Division of Student Affairs staff reporting directly to the Director of University Counseling Services.

Essential Functions:

Student Support and Intake Services

  • Welcome and assist students seeking counseling and wellness services.
  • Conduct initial screenings and intake processes under the supervision of licensed counseling staff.
  • Coordinate student appointments, referrals, and follow-up services.
  • Provide wellness check-ins and support to students experiencing academic, personal, or social challenges.
  • Maintain appropriate communication with students regarding counseling services and available campus resources.

Counseling Center Operations

  • Maintain confidential student records in compliance with applicable federal, state, and institutional regulations.
  • Manage scheduling systems, office operations, and client communications.
  • Assist with data collection, assessment reporting, and service utilization tracking.
  • Support crisis response protocols and coordinate referrals under the guidance of licensed professionals.
  • Prepare reports and documentation to support departmental assessment and accreditation efforts.
  • Ensure accurate and timely recordkeeping for counseling services and outreach initiatives.

Campus Wellness Programming

  • Assist with the planning, coordination, and implementation of mental health awareness programs, workshops, and outreach initiatives.
  • Collaborate with faculty, staff, and campus departments to promote student wellbeing and holistic development.
  • Support campus-wide wellness campaigns and prevention programming.
  • Represent University Counseling Services at university events, orientations, resource fairs, and student engagement activities.

Administrative Support

  • Respond to students, faculty, staff, and community partners in a timely and professional manner.
  • Assist with departmental projects, special events, and university committees as assigned.
  • Contribute to the overall success of the department by performing all other duties and responsibilities as assigned.
  • Meet regularly with the Director of University Counseling Services to provide updates and establish ongoing communication.

Knowledge, Skills, and Abilities:

  • Ability to handle sensitive and confidential information with the highest level of professionalism and discretion.
  • Demonstrate strong interpersonal, organizational, and communication skills.
  • Ability to establish and maintain positive working relationships with students, faculty, staff, and community partners.
  • Knowledge of student development principles, mental health resources, and helping professions preferred.

Minimum Requirements:

  • Bachelor’s degree in Social Work, Psychology, Human Services, Counseling, Sociology, or a related field.
  • Minimum of one (1) year of experience in counseling support services, case management, student affairs, healthcare, social services, or a related helping profession preferred.
  • Demonstrated commitment to student wellbeing and service.
  • Ability to perform multiple tasks simultaneously while maintaining attention to detail.
  • Willingness to work occasional evening and weekend hours as needed.

Preferred Qualifications:

  • Experience in case management, counseling support, behavioral health, higher education, or social services.
  • Interest in pursuing a Master of Social Work (MSW), Counseling, or related graduate degree.
  • Experience working with diverse populations in a college or university setting
