U.S.VETS is seeking a Clinical Administrative Coordinator to support the administrative, clinical documentation, training, reporting, and compliance functions of our Behavioral Health department. Reporting to the Director of Behavioral Health, this role helps ensure clinical teams have the systems, documentation, training, and resources needed to deliver effective services and meet organizational and funder requirements.
This is an ideal opportunity for an organized, detail-oriented professional who is comfortable coordinating across teams, managing deadlines, reviewing documentation, and supporting clinical quality and compliance.
What You’ll Do- Coordinate annual training schedules and ensure clinical and program staff complete required training and competency assessments.
- Develop and maintain internal and external reporting calendars and coordinate timely submission of required reports.
- Monitor program deliverables and work with leadership to address gaps and corrective actions.
- Conduct regular client file and clinical documentation audits to ensure accuracy, completeness, and compliance.
- Partner with case management and clinical staff to resolve documentation deficiencies and maintain audit-ready records.
- Coordinate admission and discharge processes to support efficient workflows and a positive client experience.
- Support external funder and accreditation audits, serving as a key site contact and coordinating with Operations, Finance, and other departments.
- Maintain clinical meeting documentation, client tracking records, and required reports.
- Support CARF accreditation and re-accreditation activities.
- Collaborate with U.S.VETS teams across sites to share best practices and improve processes.
- Perform other duties as assigned.
- Bachelor’s degree in Social Services or a related field required.
- 2+ years of experience coordinating clinical services, clinical administration, program operations, or administrative oversight in a clinical setting.
- Strong organizational, time-management, and attention-to-detail skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple deadlines, work independently, and collaborate across teams.
- Experience with documentation compliance, audits, reporting, or quality assurance preferred.
- Experience working with veterans or behavioral health populations preferred.
- Proficiency with Microsoft Office, electronic case records, client tracking systems, and other information systems.
- Valid driver’s license may be required based on program needs; must meet company insurance requirements and complete required driver training.
Skills Required
- Bachelor's degree in Social Services or a related field
