The Role
Manage day-to-day clinic operations to ensure sessions run smoothly: cover staffing gaps, resolve conflicts, handle parent concerns, track authorizations, run enrollment and onboarding, and support credentialing so clinicians can focus on patient care.
Summary Generated by Built In

Behind every kid who makes progress at our clinic is a day that ran smoothly — sessions covered, families heard, nothing dropped. That's your job. We're looking for an Operations Manager who makes a busy ABA clinic work, so the clinical team can do what they're great at: changing kids' lives.

What this role demands

This is a hands-on, on-site role in a busy clinic. The day is interruption-driven — you'll rarely finish exactly what you planned, and you'll be the one others come to when something needs solving. You'll occasionally support another location on short notice. If you do your best work bringing order to a fast-moving environment, you'll thrive here.

Why this role matters

The clinical team changes kids' lives. You make that possible. Every smooth day you create — every gap covered, every conflict resolved, every authorization tracked — is a child getting therapy that changes their trajectory. This is the operational heart of the clinic, with real authority and a direct line to leadership. When you fix something, it stays fixed, and you see the result in how the place runs.

What you'll do

  • Own the day-to-day operation of the clinic — you're the first call when an issue comes up.
  • Solve coverage problems fast: when a tech calls out, you make sure the kid still gets their session.
  • Handle staff conflicts directly and fairly, before they fester.
  • Be the first point of contact for parent concerns, and turn frustration into trust.
  • Track authorizations and keep services inside what's approved.
  • Manage new client enrollment and intake so families don't wait longer than they have to.
  • Run onboarding so new hires feel competent and welcomed in their first week.
  • Support credentialing and payor requirements alongside clinical leadership.
  • Keep the whole operation tight enough that the clinical team can focus on the kids.
Qualifications

Required

  • Bachelor's Degree (Business Administration, Healthcare Administration, or similar fields)
  • 2+ years managing day-to-day operations in a clinic, medical office, or comparable healthcare/multi-staff environment
  • Direct experience supervising or managing staff
  • Working knowledge of insurance authorizations and the difference between authorized, scheduled, and billed hours
  • Comfortable with clinic software and spreadsheets (scheduling, documentation, tracking)
  • Able to work full-time, on-site, [hours], at our [City] clinic
  • Strong communicator who can handle staff and parent concerns directly and calmly
  • Able to pass a background check and required state clearances

Strongly preferred

  • Master's degree (Business Administration, Healthcare Administration, or similar fields)
  • Experience in an ABA, therapy, or pediatric healthcare setting
  • Familiarity with Arkansas Medicaid and/or private payor requirements
  • Experience with client enrollment, intake, or onboarding
  • Exposure to provider credentialing

What Sets Our Best Operations Managers Apart

  • You run toward problems. A no-show, a frustrated parent, a scheduling gap — you'd rather own it than route it.
  • You hold people accountable without making it personal, and staff trust you anyway.
  • Nothing falls through the cracks on your watch, because you build the systems that catch it.
  • You see the clinic as one machine — when one part stalls, you feel it and you move.

Skills Required

  • Bachelor's Degree (Business Administration, Healthcare Administration, or similar fields)
  • 2+ years managing day-to-day operations in a clinic, medical office, or comparable healthcare/multi-staff environment
  • Direct experience supervising or managing staff
  • Working knowledge of insurance authorizations and the difference between authorized, scheduled, and billed hours
  • Comfortable with clinic software and spreadsheets (scheduling, documentation, tracking)
  • Able to work full-time, on-site at clinic location
  • Strong communicator who can handle staff and parent concerns directly and calmly
  • Able to pass a background check and required state clearances
  • Master's degree (Business Administration, Healthcare Administration, or similar fields)
  • Experience in an ABA, therapy, or pediatric healthcare setting
