The Role
There are two parts to this position:
First, you lead the admin team at our Scarborough clinic. The client coordinators & team leads at SCB report to you. You own the client experience, the schedule, the admin systems & the daily rhythm of the clinic THROUGH your team. You coach them, hold the standard & build coordinators who get better every month. Therapists start their day with clean schedules. Clients feel taken care of from first call to final visit. That's the standard you enforce.
Second, you own MVA & WSIB claims administration across our entire network. Every motor vehicle accident claim & every WSIB claim across all 7 clinics runs through you. Claim setup, HCAI submissions, OCF forms, WSIB forms, treatment plan approvals & extensions, insurer follow-up, unpaid claim chasing & keeping clinicians on top of their paperwork. You are the person who makes sure this money doesn't fall through the cracks.
What You'll Do
Client Coordinator Leadership
- Lead, coach & develop the client coordinators & team leads at our Scarborough location
- Own schedule health: new client allocation, booking flow, coverage planning
- Hold the front desk to Axis standard: client experience, billing accuracy, documentation, SOPs
- Handle escalated client issues & service recovery
- Execute HR processes for your team: onboarding, performance conversations, documentation
- Work directly with the Clinic Director to keep the clinic calm & predictable
- Step in on the desk when needed, but your job is building a team that doesn't need you to
MVA/WSIB Across All Clinics
- Set up new MVA & WSIB claims: HCAI, OCF forms, WSIB Form 8 coordination
- Manage ongoing billing: OCF-18s, OCF-23s, WSIB extensions, treatment plan renewals
- Chase outstanding MVA/WSIB AR: insurer follow-up, unpaid HCAI invoices, status checks
- Support clinicians across the network to complete their forms accurately & on time
- Document the process as you build it, so it scales as we do
Who You Are
- 2+ years in clinic admin (physio, chiro, rehab, dental or medical), with experience leading or mentoring a front desk team
- You hold people accountable without losing them. Direct & warm at the same time
- Organized to a fault. You track things. Nothing falls through the cracks on your watch
- Comfortable chasing insurers & holding clinicians to deadlines. Politely relentless
- Clear communicator, written & verbal
- Jane App experience is an asset
- MVA/WSIB billing experience (HCAI, OCF forms) is a strong asset but NOT required. We will train the right person

The Details
- Full-time, salaried, employee position
- Direct reports are the Client Coordinators and Team Leads
- Works in collaboration with the Clinic Director & Lead Therapist
- On-site at our Scarborough clinic
- Reports to our Director of People & Experience, with systems support from Head of Operations
- Salary: $52,000 - $63,000 CAD depending on experience
Skills Required
- 2+ years of experience in clinic administration, preferably in physiotherapy, chiropractic, rehabilitation, dental, or medical settings
- Experience leading or mentoring a front desk team
- Clear written and verbal communication skills
- MVA/WSIB billing experience, including HCAI and OCF forms
- Jane App experience
