Job Summary

The Administrative Service role supports the front office reception and administration, including answering phones, filing, directing calls, greeting guests, vendors, etc.

Position Responsibilities 

  • Direct, review, screen and process telephone communications and mail; act on routine requests and/or refer.
  • Gather information from office records or supervisors to draft e-mails, memos, and other documents.
  • Perform data entry; gather, assemble, and format data to create simple reports.
  • Entering data into agent database and ensure accuracy of agent data
  • Assist with new agent onboarding, forwarding new contracts, agent follow up to ensure prompt response times
  • Works closely with cross-functional departments to ensure agents are properly contracted
  • Processes contracts and licensing for agent appointments in a timely manner
  • Processes updates, changes, and additions to agent contracts when necessary and updates agent files to reflect such changes
  • Provide knowledgeable agent support by responding to agent inquires on contract status, submitted contract status, and identifying missing information from contacts, etc.
  • Prepare documents, meeting materials, and correspondence.
  • Collaborate across all departments and functional levels of the organization and adapts to the needs of the organization.

Position Requirements

  • High School Diploma or GED
  • 2-4 years of customer service, data entry experience or related office experience, 
  • Fast typing skills. 
  • Proficiency in MS Office Suite
  • Familiarity with CRMs
  • Excellent communication skills
  • Working knowledge of office equipment and computer hardware and peripheral devices, basic understanding of databases, attention to detail a must.
  • Positive Attitude is a MUST in this fast-paced atmosphere! Also, able to empathize with clients and keep a professional demeanor when working with companies.
