Client Services Specialist

WhitbeckBeglis, PLLC has an immediate opening for a Client Services Specialist to join our team at our Virginia Beach, Virginia office. This role is responsible for managing front desk operations, handling incoming communications, scheduling appointments, and providing administrative support to attorneys and paralegals. The ideal candidate is personable, detail-oriented, and thrives in a fast-paced environment.

Key Responsibilities:

  • Serve as the first point of contact by managing front desk operations and greeting clients professionally
  • Answer and direct incoming phone calls with professionalism and efficiency
  • Schedule appointments and manage attorney calendars
  • Provide administrative support to attorneys and paralegals as needed
  • Process payments accurately and in a timely manner
  • Maintain office supplies and coordinate restocking as needed
  • Maintain workflow activities and assist team members where needed
  • Collaborate with legal staff to ensure smooth day-to-day operations
  • Deliver excellent customer service, particularly when assisting clients in sensitive situations

  

Requirements

Qualifications:

  • High school diploma or general education degree (GED) required; 1–3 months of related experience or      equivalent combination of education and experience preferred
  • Proficiency in Microsoft Office (Word, Excel, and Outlook)
  • Strong administrative and organizational skills
  • Excellent phone etiquette and communication skills
  • High level of attention to detail
  • Ability to multitask and work independently
  • Positive, outgoing demeanor with a professional presence
  • Ability to perform effectively in a fast-paced, high-pressure environment
  • Interest in the legal profession and a strong desire to help others
