The Opportunity

We are looking for an experienced Client Services Coordinator to join our operations team. In this role, you will support our clients by responding to enquiries, managing cases, and assisting with administrative tasks across the client lifecycle.

This is a full-time role for candidates based in EST only Monday to Friday, 7:00 am to 3:30 pm Eastern Time.

Key Responsibilities

  • Act as the first point of contact for clients who need assistance with our products and services.
  • Answer inbound calls in a timely and professional manner.
  • Return client voicemail messages and callback requests.
  • Respond to assigned HubSpot cases within required timeframes.
  • Follow up on outstanding cases to support timely resolution.
  • Work closely with the Operations Manager to support business needs, goals, and objectives.
  • Use multiple platforms to investigate and resolve client issues.
  • Assist with administrative tasks, including onboarding, account maintenance, monthly billing, sundries, refunds, cancellations, and chargebacks.
  • Keep client records accurate and up to date.
  • Identify opportunities to improve resources, systems, and processes.

About You

You are a high-performing client services professional with 3 to 5 years of experience in a client support, customer service, or operations environment. You communicate clearly, take ownership of your work, and enjoy helping clients resolve issues.

You are organised, adaptable, and able to manage competing priorities across phone calls, HubSpot cases, and administrative tasks. You are open to feedback, eager to learn, and committed to delivering excellent client experience.

You will be a strong fit for this role if you have:

Experience in the legal or financial services industry is an advantage. Experience with LEAP, practice management software, HubSpot, Stripe, or ClickUp is also beneficial.

Pay: $45,000.00 - $55,000.00 per year
