ROLE SUMMARY

The Client Service Associate provides critical support to the Client Services Team by performing patient intake, coordinating with prescribers, and ensuring accurate and timely documentation of medical records. This role helps streamline workflows, ensures operational efficiency, and supports timely patient care. You will collaborate closely with internal teams and patients, handle multiple tasks in a fast-paced environment, and maintain clear communication throughout the process. This is a full-time, in-office position with Monday through Friday hours.

KEY RESPONSIBILITIES

• Collaborate with the Client Services Team to support and streamline order processing workflows
• Assist with follow-up tasks, including patient engagement calls and coordinating with prescribers to obtain required documentation
• Perform patient intake, ensuring accurate documentation of medical necessity information in the system
• Request, review, and document pertinent medical records from physician offices
• Maintain clear communication with internal team members to ensure smooth operations and issue resolution
• Participate in traditional and e-learning programs for ongoing training and professional development
• Work effectively with other employees, managers, and departments
• Perform all job functions in alignment with the company’s Mission, Vision, and Goal Statements
• Perform other duties as assigned

Requirements

• High School Diploma or GED required
• Strong verbal communication skills; polite, friendly, helpful, and courteous with all internal and external stakeholders
• Ability to manage time effectively, work independently, and handle multiple tasks in a fast-paced environment
• Proficient with computers, office software, and equipment; familiarity with EMR systems, medical billing, or DME experience is a plus
• Knowledge of insurance guidelines and experience with Durable Medical Equipment (DME) preferred
• Ability to quickly acquire knowledge of departmental program structure, policies, and procedures
• Demonstrates professionalism, sound judgment, and accountability when handling tasks and interruptions
