Hours: Full-time office based, 08:30am to 17:30pm or 09:30am to 18:30pm, Monday to Friday

The Role 

The Client Services Assistant plays a key role in delivering a seamless, professional and welcoming experience for clients, visitors and colleagues within the office. This highly visible, hands‑on role combines front‑of‑house hospitality with back‑of‑house workplace and facilities support, ensuring meeting rooms, client areas and office services operate efficiently and to a consistently high standard. The role supports day‑to‑day office operations, facilities, health and safety and supplier coordination, while maintaining a client‑focused, discreet and service‑oriented approach at all times.

What you'll be doing

  • Deliver a professional and welcoming experience for clients, visitors and colleagues, acting as a key point of contact within the office.
  • Manage meeting room operations, including room bookings, set-up and reset, catering coordination, equipment support and daily room inspections.
  • Support the delivery of client meetings, internal events and presentations, ensuring rooms, technology and hospitality services are prepared to a high standard.
  • Coordinate visitor management processes, including access passes, desk bookings, new joiner support and client arrival arrangements.
  • Operate the office switchboard, ensuring calls are answered promptly, directed appropriately and messages are recorded accurately.
  • Manage incoming and outgoing post, courier services, deliveries, archiving requirements and related records.
  • Provide document and administrative support, including printing, scanning, copying, binding and business card management.
  • Maintain stationery, catering and pantry supplies, ensuring stock levels are monitored and replenished as required.
  • Conduct regular office inspections, monitoring housekeeping, presentation standards, maintenance issues and health and safety risks.
  • Liaise with contractors, suppliers and building management to help ensure the workplace remains safe, efficient and well maintained.
  • Support wider facilities and workplace operations, including access control, invoice administration and office moves or reconfigurations where required.

  • Relevant experience in customer services, preferably within professional services, corporate environment or hospitality.
  • Confidence managing multiple operational priorities across a busy environment.
  • Strong customer service skills with the ability to build relationships with clients, visitors and colleagues at all levels.
  • Strong organisation skills and attention to detail.
  • Comfortable using workplace technology and booking systems.
  • A flexible and hands-on approach, including supporting room set-ups and ad hoc operational requirements.
  • A proactive mindset and willingness to take ownership for ensuring the office and client areas operate smoothly.
