Client Services Assistant – Austin Office

Position Summary

Pillsbury Winthrop Shaw Pittman LLP is seeking a Client Services Assistant (CSA) to support our Austin office. This position reports to the Regional Director of Administration and the Regional Human Resources Manager for the Texas offices.

The Client Services Assistant serves as the first point of contact for clients, visitors, and callers while ensuring the smooth day-to-day operations of the office. This role requires exceptional client service, strong organizational skills, attention to detail, and the ability to thrive in a fast-paced professional environment.

Primary Responsibilities

The Client Services Assistant is responsible for ensuring the efficient daily operations of the reception desk and office, including but not limited to:

  • Delivering exceptional client service by greeting and assisting clients, visitors, attorneys, and staff in a professional and welcoming manner.
  • Answering and directing all incoming calls received at the main reception desk.
  • Managing visitor registration, assigning offices to visiting attorneys, and coordinating conference room reservations.
  • Coordinating meeting logistics, including catering, technology, room setup, and meeting supplies.
  • Managing food orders for the office and coordinating catering for meetings and events.
  • Providing administrative support as needed, including preparing expense reports, check requests, new business memos, mailings, presentation binders, electronic files, travel arrangements, and meeting scheduling.
  • Assisting with the planning, coordination, and execution of office events and programs in partnership with Human Resources, Recruiting, Business Development, and other departments.
  • Supporting additional administrative and operational projects as assigned.

Additional Requirements

  • This is a full-time position requiring a 40-hour workweek.
  • In-office attendance is required five days per week.
  • Occasional overtime is required based on business needs, including assisting with office meetings, client functions, recruiting activities, and firm events that may take place outside of normal business hours.
  • May be assigned additional responsibilities and projects as needed.

Qualifications

The ideal candidate will possess:

  • 3+ years of experience in a professional services environment (law firm experience preferred).
  • Outstanding administrative, organizational, and interpersonal skills.
  • Exceptional attention to detail, accuracy, and proofreading abilities.
  • Strong verbal and written communication skills with a polished, professional demeanor.
  • The ability to manage multiple priorities, meet deadlines, and thrive in a fast-paced environment.
  • A proactive, self-motivated approach with excellent judgment and problem-solving skills.
  • A positive, collaborative, and client-service-oriented attitude with the ability to interact effectively with attorneys, clients, and staff at all levels.
  • Professional appearance and the ability to handle confidential and sensitive matters with discretion.
  • Flexibility to adapt to changing priorities, technologies, and office procedures.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • A bachelor's degree preferred, or an equivalent combination of education and relevant experience.

The expected salary range for this position is $50-$60k. Final compensation will be determined based on several factors, including but not limited to, relevant experience, qualifications, skill set, and geographic location.
