About the Role
As the first point of contact for our transcription clients, you will play a key role in ensuring a seamless customer experience while supporting the administration and coordination of transcription jobs. You will manage client enquiries, provide job updates, process invoicing and billing activities, and contribute to the smooth operation of our transcription services team.
This is a varied role that combines customer service, administration and financial processing, making it ideal for someone who enjoys building relationships while maintaining a high level of accuracy.
Key Responsibilities
Customer Service & Client Support
- Respond to client enquiries via phone and email in a professional and timely manner.
- Provide updates on transcription job progress, delivery timeframes and service requests.
- Build and maintain positive relationships with clients through responsive communication.
- Assist with resolving client concerns and escalate issues when required.
Administration & Job Coordination
- Support the processing and administration of transcription jobs.
- Maintain accurate records and documentation.
- Assist with workflow coordination and operational administration activities.
- Ensure service standards and deadlines are consistently achieved.
Invoicing & Billing Support
- Prepare invoices and cost estimates.
- Process billing transactions accurately and within required timeframes.
- Review invoices for accuracy and completeness.
- Assist in resolving billing enquiries and maintain supporting documentation.
About You
To be successful in this role, you will bring:
- Previous experience in administration, customer service, office support or data entry.
- Exceptional communication skills, both written and verbal.
- Strong attention to detail and a commitment to accuracy.
- Excellent organisational and time management skills.
- A proactive and solutions-focused approach.
- The ability to manage competing priorities in a high-volume environment.
- Intermediate Microsoft Office skills, particularly Outlook, Word and Excel.
- Experience with invoicing, billing or financial administration will be highly regarded.
Highly Desirable
- Experience using Pronto ERP or similar finance systems.
- Exposure to transcription, legal, professional services or service-based environments.
- Experience in workflow coordination or production administration.
