Job Description:
We are seeking a Client Billing Compliance Analyst to join our team. This is an exciting opportunity to work in a dynamic and fast-paced environment and contribute to the growth and success of our Firm. The Client Billing Compliance Analyst supports the Client Billing Compliance Manager and team with maximizing the realization of clients whose engagements are governed by Outside Counsel Billing Guidelines (OCG’s). Participates in managing client set ups, billing and collection arrangements and inventory management of client portfolios to ensure that client reductions of time and costs due to non-compliance with guidelines are minimized. Develops strong collaborative relationships with attorneys throughout the client’s lifecycle while delivering optimum internal and external client service. Identifies client specific and Billing Attorney candidates to participate in the audit and appeal program including development and implementation of training materials and executable strategies to maximize billing and collection realization and overall revenue.
Key Responsibilities Include:
- Collaborate with Business Intake, Revenue Management, Pricing and Information Governance teams and Billing Attorneys to ensure that client’s OCG’s and specifications are received, reviewed, documented, categorized, distributed and adhered to throughout the client’s lifecycle with the Firm.
- Ensure that client’s staffing requirements are appropriately enforced through system set ups.
- Perform pre-audit of time entries for selected clients to minimize reductions taken at time of invoice review and to accelerate client’s repayment schedule.
- Research and/or creation of appeals in response to rejected or reduced billing submissions in accordance with client driven appeal deadlines.
- Participates and provides input to the monitoring of clients to determine eligibility for being included in the compliance audit & appeal program, and conversely monitor clients which no longer benefit from the program.
- Prepares alerts and reports as needed identifying trends & issues regarding discounts, write-downs, and write-offs and guidelines, and effectively communicate with management.
- Oversees appeals assigned to dedicated paralegal team to ensure completion and accuracy in accordance with the audit and appeal program.
- Establish, foster, and maintain professional, credible, and collaborative relationships with attorneys, staff, firm management and clients to ensure attorney and client specifications are supported
- Interact with client contacts as needed with tact, diplomacy, and effective negotiation skills in a manner which does not compromise the client relationship.
- Collaborate with E-billing and Timekeeper Matter Maintenance teams to ensure set up of new clients to align with OCG requirements, ensuring that appropriate fields are updated according to client billing guidelines and ensure that electronic invoices are successfully submitted in accordance with guideline requirements to minimize reductions.
- Assist in research, development and implementation of technology tools to aid in compliance with OCG’s
- As appropriate, communicate directly with clients, acting as a client conduit for billing and collection assistance as well as to serve as a point of contact for the client relationship
- Concisely communicate arrangements with attorneys and clients on their matters; collaborate with internal team members to provide clients with requested information on any special billing and or collection arrangements.
- Functions as a subject matter expert providing in-depth knowledge and expertise throughout portfolio of clients and across various practices. Research and develop analysis related to assigned portfolios, providing concise, detail-based documentation, statistics, and recommendations.
- Respond to inquiries relating to accruals, audits and payments report; provide rate analysis upon request; recommend solutions based on billing trends relating to realization; and prepare ad hoc reports upon request.
- Ensure Firm policies and practices are followed; promote consistency and education on professional and technical matters to meet client service objectives.
- Special projects and additional duties as assigned.
Qualifications:
- Minimum 4 years of legal client service experience preferred specifically in areas involving paralegal, financial revenue cycle, billing and/or collections. Other professional service backgrounds such as medical billing or insurance bill review will be considered
- Understanding of the various phases of litigation, as well as specialized billing arrangements arising from such engagements
- Knowledge of legal billing requirements including familiarity with various electronic billing platforms preferred
- Ability to effectively manage multiple projects with competing deadlines and perform well under pressure
- Outstanding interpersonal and communication skills and the ability to work in a collegial manner with a variety of attorneys, clients and administrative colleagues
- Strong technical and analytical skills
- Strong time and project management skills
- Analytical, intellectually curious, and motivated to seek out answers and solutions
- Excellent critical thinking, problem solving and decision making skills
- Proficient in industry standard time & billing and collection software, Microsoft Office suite
Minimum Education:
- Bachelor’s degree in Accounting, Finance or Business discipline or Paralegal certification preferred, may be substituted for relevant legal work experience.
