The Client Access Representative - Float serves as the first point of contact for clients and visitors while supporting clinician office practices with scheduling, client registration, insurance verification, payment collection, and administrative support. This position floats between multiple clinic locations based on operational needs and plays a critical role in creating a positive client experience while ensuring accurate and efficient front-office operations.

Key Responsibilities:

  • Welcome and assist clients, families, and visitors by creating a professional, friendly, and supportive experience.
  • Schedule appointments, verify insurance eligibility and benefits, and coordinate client referrals.
  • Register arriving clients by verifying demographic information, payment methods, and required documentation.
  • Manage appointment changes, cancellations, and no-show processes in accordance with established procedures.
  • Utilize electronic medical record systems to accurately document and maintain client information.
  • Collect payments, process transactions, issue receipts, and balance daily financial records.
  • Respond to incoming phone calls and direct inquiries to the appropriate department or team member.
  • Resolve client concerns and support positive outcomes during potentially challenging or high-stress interactions.
  • Maintain accurate and complete client health records and required paperwork.
  • Support quality improvement initiatives, service monitoring activities, and administrative projects as assigned.
  • Maintain a clean, organized, and welcoming reception and waiting area.
  • Operate and troubleshoot standard office equipment including phones, copiers, scanners, and fax machines.

Education, Experience, and/or Credential Qualifications:

  • High school diploma or GED required.
  • Minimum of six (6) months of customer service experience required.
  • Experience working in a medical office, healthcare setting, or customer-facing administrative environment preferred.

Additional Qualifications:

  • Excellent oral, written, and interpersonal communication skills.
  • Strong customer service orientation with the ability to build positive relationships with clients, families, and coworkers.
  • Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment.
  • Strong computer, data entry, and typing skills.
  • Ability to independently manage daily responsibilities with minimal supervision.
  • Flexibility to travel and float between multiple clinic locations based on operational needs.
  • Reliable transportation required.
  • Successful completion of background screening, including criminal record, driving record, abuse/neglect, and fingerprint checks.
  • Current driver's license, acceptable driving record, and current auto insurance required.

Physical Requirements

  • Perform sedentary work involving exertion of up to 10 pounds of force occasionally and negligible force frequently.
  • Sit for extended periods while performing administrative and computer-based duties.
  • Frequently use hands, fingers, and arms for typing, data entry, and other repetitive office tasks.
  • Occasionally stand and walk throughout clinic locations as needed.
  • Ability to lift, carry, push, or pull light office materials and equipment as necessary.
