Position Summary

The Quality Assurance & Claims Coordinator supports day-to-day quality operations at the Middlefield plant. This position is well-suited for a candidate with hands-on production experience who is ready to step into a quality support role. The Coordinator assists with incoming inspection, in-process quality checks, color measurement, and claims review. Strong computer skills and attention to detail are essential. This role works closely with the Senior Quality Manager and production leadership to ensure product meets established standards before it reaches the customer.

Key Responsibilities

Claims Support

• Review claims submitted to the CRM system; verify accuracy and completeness of intake data and identify any missing information needed for investigation

• Gather supporting documentation for open claims: production records, inspection data, photos, and batch information

• Photograph returned product; upload and organize image files per claims procedure

• Assist the Quality Manager with claim investigation by pulling relevant production data and lab records

• Track claim status and flag items approaching response deadlines

• Complete Microsoft Forms submissions tied to claims workflow; verify confirmation emails and SharePoint records are generated correctly

In-Process & Incoming Quality

• Perform incoming inspection checks on raw materials; record results in the incoming inspection record

• Conduct in-process quality checks on the production floor per established work instructions

• Document nonconforming product findings; apply hold tags and notify supervisor per procedure

• Assist with Layered Process Audits (LPAs) on the production floor; record audit findings and support corrective action follow-up to drive continual improvement

Color Measurement & Shade Evaluation

• Operate spectrophotometer to measure color on finished tile; record readings and compare against standard

• Use OnColor software to evaluate color data, flag out-of-tolerance results, and generate shade reports

• Support shade-related claim investigations by pulling production color records and correlating with complaint details

• Maintain spectrophotometer per calibration schedule; escalate instrument issues to Quality Manager

Lab & Calibration Support

• Assist with physical testing per ASTM procedures and work instructions

• Record test results completely and per schedule

• Support calibration recall coordination: pull instruments due for service, update logs, and track return

• Maintain a clean, organized environment

• Periodically serve as a backup to lab personnel in the event of call-offs, PTO or other scheduled needs

Documentation & Systems

• Enter quality data into Excel logs and SharePoint-based tracking tools

• Complete Microsoft Forms submissions for quality events and inspections

• Use iPad for floor-based data entry and photo capture

• Follow document control procedures; never use or distribute superseded documents

Qualifications

Required

• High school diploma or equivalent

• Computer proficiency: comfortable with Excel, Microsoft Forms, CRM data entry, and iPad-based tools

• Ability to read and follow written work instructions and quality procedures

• Detail-oriented; understands that incomplete data is the same as no data

• Reliable, self-sufficient, and willing to ask questions when something is unclear

Preferred

• Experience with spectrophotometer operation or color measurement in a production setting

• Familiarity with OnColor or similar color management software

• Exposure to ISO 9001 or other formal quality management systems
