Job DescriptionWe are seeking an organised and proactive CHPP Administration Assistant to support the day to day activities of our Coal Handling and Preparation Plant team.
Working closely with CHPP leaders, employees and contractors, you will provide reliable administrative support and help keep the department organised, compliant and running efficiently. This role would suit someone who enjoys working in a busy operational environment, can manage competing priorities and takes pride in providing a high level of service.
What you’ll be doing
In this role, you will:
- Provide a high level of administration support to the CHPP team and other departments when necessary
- Establish and maintain effective relationships with clients (internal & external) to help guide positive employee interactions and assist with day to day queries from the workforce
- Detailed diary management including coordination of CHPP meeting room resources and catering
- Manage the CHPP Site Visitor process and compliance to procedure.
- Proactive and timely processing of travel bookings, expense claims, Visa Card reconciliations and invoicing
- Assist with coordination of meeting preparation and taking of minutes
- Electronic data management, data input and filing
- Administer Fewzion support for the CHPP Department
- Processing and tracking of completed Site Access Permits
- Coordinate CHPP personal to attend site specific training to ensure currency of skills and tickets
- Adhoc project work when required for example, CHPP compliance audits
- Effectively onboard CHPP personal including set up of IT equipment, allocation of lockers, system access, visitor request forms
- Coordinate CHPP building maintenance with external contractors
To be successful in this role, you will bring:
- Previous experience in an administration, team assistant or site support role.
- Strong organisational skills and the ability to manage changing priorities.
- Good written and verbal communication skills.
- A high level of accuracy and attention to detail.
- Confidence using Microsoft Office, including Outlook, Word, Excel and PowerPoint.
- A proactive and helpful approach when supporting employees, leaders and contractors.
- The ability to work independently and as part of a busy operational team.
- Experience with purchase orders, invoices, records management or workforce administration.
- Commitment to safety, confidentiality and professional conduct.
Experience using SAP or a similar business system would be advantageous. Previous experience in mining, resources, construction or another operational environment would also be highly regarded.

- Roster - Monday to Friday with flexibility option of a 9 day fortnight
