Position Summary

The Chapel Services Coordinator provides operational, administrative and ministerial support for Walsh University’s chapels and liturgical life. The position coordinates chapel schedules, liturgical ministers, student employees, supplies, records, collections, communications, weddings and other chapel events; assists with Masses, prayer services, retreats and special programs; supports the University Chaplain; and helps ensure that chapel spaces are welcoming, prepared and maintained in a manner consistent with Walsh University’s Catholic mission. The Coordinator also develops and maintains relationships with surrounding Catholic parishes, schools, diocesan offices, clergy, young-adult communities and Catholic organizations in order to strengthen collaboration, extend hospitality and connect the University’s liturgical and ministerial life with the wider Church.

Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:

  • Maintain an accurate calendar for ministry and non-ministry use of chapel spaces and coordinate scheduling details with Campus Ministry, Facilities and other campus partners.
  • Coordinate the logistical and liturgical preparation of University Masses, Adoration, prayer services, holy days, and other special celebrations, including events involving the Bishop, visiting clergy or invited speakers.
  • Recruit, schedule, communicate with and support chapel volunteers, including altar servers, lectors, sacristans, extraordinary ministers of Holy Communion and other liturgical ministers.
  • Provide day-to-day supervision, training and task direction for assigned student employees or work-study students.
  • Prepare chapel spaces before liturgies and events and oversee appropriate cleanup, reset and secure storage afterward.
  • Monitor inventory, track expenditures and order chapel and liturgical supplies, including candles, altar bread, wine, incense and other approved materials.
  • Replace sanctuary lights and altar candles; care for chapel plants and furnishings; and coordinate routine upkeep or service requests through the appropriate University departments.
  • Help oversee the operational and liturgical readiness of Our Lady of Perpetual Help Chapel and the St. Teresa of Calcutta Chapel.
  • Count, document and deposit Sunday collections and other chapel gifts in accordance with University cash-handling procedures.
  • Develop and distribute clear communications concerning Mass times, sacramental opportunities, chapel updates and public events through email, print, social media and other approved channels.
  • Build and maintain working relationships with surrounding Catholic parishes, the Diocese of Youngstown, Catholic schools, religious communities, clergy, youth and young-adult ministries and other Catholic organizations.
  • Serve as a point of contact for Catholic community partners seeking information about University liturgies, sacramental opportunities, retreats, speakers, service initiatives and other appropriate programs.
  • Identify and help coordinate opportunities for joint liturgies, prayer services, retreats, service projects, formation programs and community events with Catholic partners, subject to the direction and approval of the University Chaplain.
  • Invite and welcome members of nearby Catholic communities to appropriate public liturgies and events, and assist visiting groups, clergy and ministry leaders with hospitality and logistical needs.
  • Represent Campus Ministry professionally at approved parish, diocesan and community meetings or events and communicate relevant partnership opportunities to the University Chaplain.
  • Coordinate logistical preparation for weddings and other approved chapel events with the University Chaplain, event contacts, wedding parties and campus partners.
  • Arrange for the laundering, dry cleaning, repair, maintenance and proper storage of liturgical vestments and linens.
  • Support the University Chaplain with calls, Mass intention requests, visiting-priest communication, hospitality and related administrative tasks.
  • Maintain organized chapel records, schedules, contact lists, event details and other documentation while exercising appropriate confidentiality.
  • Assist with campus ministry programs that foster student participation, faith formation, service, community and leadership, including retreats and initiatives that connect Walsh students with the wider Catholic community.
  • Support student and young-adult outreach by helping create welcoming opportunities for prayer, fellowship, service and participation in the sacramental life of the Church.
  • Welcome students, employees, clergy, volunteers, wedding parties and visitors with professionalism, warmth and respect.
  • Learn the basic operation of chapel sound, lighting and climate-control systems and report service needs through proper channels.
  • Coordinate routine care of chapel pianos, including their humidity-control systems, as applicable.
  • Perform other related duties as assigned in support of Campus Ministry and the University mission.

Required Qualifications (Knowledge, Skills and Abilities)

Must demonstrate an understanding the Walsh University Statement of Faith and a commitment to support the Mission, Vision, Values and Code of Ethical Conduct of Walsh University in accordance with Ex Corde Ecclesiae and the Catholic intellectual tradition. Must also possess the following:

Education

  • High school diploma or equivalent required.
  • Bachelor’s degree in theology, ministry, psychology, communications, education or a related field preferred.

Work Experience

  • Experience in Catholic ministry, campus ministry, parish or chapel operations, liturgical preparation, administrative support, volunteer coordination, hospitality or event planning preferred.
  • Experience coordinating Masses, prayer services, retreats, student programs or large ministry events preferred.
  • Experience working with students, young adults, clergy, volunteers and institutional leadership preferred.
  • Experience developing relationships or coordinating programs with parishes, diocesan offices, Catholic schools or community organizations preferred.

Skills and Abilities

  • Working knowledge of Catholic liturgy, chapel practices, sacramental life and liturgical terminology.
  • Strong organization, attention to detail and ability to manage schedules, records, supplies, budgets, event logistics and multiple priorities.
  • Ability to coordinate liturgies and events in collaboration with clergy, campus partners, speakers, volunteers and outside participants.
  • Ability to cultivate positive relationships with parishes, diocesan personnel, Catholic organizations, religious communities and ministry leaders.
  • Ability to identify appropriate opportunities for collaboration and carry partnership details from initial contact through successful completion.
  • Clear, courteous written and verbal communication with students, employees, clergy, volunteers, wedding parties and community members.
  • Ability to create and distribute effective print and digital communications for programs, schedules and events.
  • Ability to represent Walsh University and Campus Ministry professionally in surrounding Catholic communities and to extend warm, attentive hospitality to visitors and partners.
  • Proficiency with email, shared calendars, word processing, spreadsheets, presentation or design software and electronic recordkeeping; experience with Google Workspace and Canva is beneficial.
  • Ability to supervise and mentor student employees and volunteers, provide clear direction and foster a welcoming, faith-filled environment.
  • Ability to work independently, exercise sound judgment and handle financial and sensitive information with integrity and confidentiality.
  • Dependable, collaborative and service-oriented approach, with a professional demeanor and a positive attitude.

The position regularly requires standing, walking, sitting, speaking, hearing, reaching and using hands for routine office and chapel tasks. The employee must be able to move among campus chapel locations, use stairs, safely light or replace candles, and occasionally lift or move supplies weighing up to 25 pounds. Work is primarily performed indoors in office and chapel settings and may involve incense, candle smoke, variable temperatures and activity associated with worship services and special events.
