About the role:\
The Change Order Specialist supports Divcon’s active project portfolio by coordinating the operational change order process and ensuring potential scope, cost, and schedule impacts are identified, documented, and routed for timely commercial action.
Working across Field Operations, Project Management, Engineering, and Sales Engineering, this role is responsible for gathering and organizing the project information needed to support accurate change order development, including contract requirements, field documentation, labor and material impacts, customer directives, schedule effects, and other supporting records.
The Change Order Specialist helps ensure changes are captured early, documented consistently, and supported with sufficient detail to strengthen contract adherence, improve cost visibility, and enable timely pricing and submission of change orders.
Key Responsibilities:
- Support the change order process across active projects by tracking potential scope, cost, schedule, and field-condition impacts that may require commercial action.
- Partner with Project Executives, Senior Project Managers, Project Managers, Engineering, and field teams to identify potential change events and gather the information necessary to support change order development.
- Review project contracts, scopes of work, drawings, RFIs, customer directives, and other project records to help identify work that may fall outside the original contractual scope.
- Gather and organize supporting documentation, including labor and material detail, field reports, correspondence, photos, RFIs, directives, schedule impacts, and other relevant project records.
- Work closely with Sales Engineering to ensure complete and accurate operational information is available to support change order pricing and submission.
- Maintain visibility into open change events, documentation status, cost exposure, submission status, aging, and outstanding actions across assigned projects.
- Follow up with project teams on missing or incomplete documentation to reduce delays in change order preparation and improve turnaround time.
- Support proactive project cost management by helping ensure labor, material, schedule, and other cost impacts are captured as they occur rather than after project completion.
- Promote consistency in change order documentation and help standardize workflows, supporting records, and handoffs between Field Operations, Project Management, and Sales Engineering.
- Escalate aging, incomplete, or high-risk change order items to appropriate Operations leadership when additional action or decision-making is required.
- Support project and portfolio reviews by providing current visibility into change order activity, open cost exposure, documentation gaps, and items requiring follow-up.
Qualifications:
- Strong understanding of construction project documentation, change order workflows, and project cost controls.
- Ability to interpret contracts, scopes of work, drawings, RFIs, field directives, and related project documentation.

Experience:
- Bachelor’s degree in Construction Management, Project Management, Business, Engineering, or a related discipline preferred; equivalent experience may be considered.
- Minimum 3+ years of experience in construction change order management, project controls, contract administration, project engineering, cost controls, or project-management support.
- Experience supporting change orders, cost exposure tracking, contract compliance, or project documentation in a construction environment strongly preferred.
- Experience within BAS/BMS, MEP, electrical, HVAC controls, mission-critical construction, or another technical subcontractor environment preferred.
- Experience working across multiple concurrent projects or project portfolios preferred.
- Experience with construction ERP or project-management platforms such as Spectrum, Procore, or similar systems preferred.
Physical Requirements:
- Sit for extended periods (typically 6-8 hours per day) while performing computer-based tasks such as data entry, email responses, system updates, etc.
- Use hands and fingers to operate standard office equipment, including computers, keyboards, mice, telephones, scanners, printers, and calculators.
- Occasionally stand, walk, bend, stoop, or reach to access filing cabinets, retrieve documents, or attend meetings.
